Description Our client, a premier national law firm, is seeking to add a Litigation Secretary to their office in Princeton, NJ. Responsibilities: Manage the day-to-day schedules of the attorneys. This includes regular meetings to discuss priorities and deadlines. Effectively manage projects by meeting deadlines and conducting follow-up as needed. The ability to take initiative, be proactive and think ahead are key

Assist attorneys with preparation of template contracts and other legal documentation of a routine nature. Create, edit and proo work product to ensure accuracy

Maintain calendars including appointments, meetings, travel and trip plans, CLE reporting, and professional memberships for attorneys

Input, review, edit, and close timekeepers’ time entries through the Firm’s web-based time entry program using Firm standards

Process Accounts Payable and Receivable and various forms such as reimbursements, expense reports, new business forms, check requests and audit letters

Handle monthly client billing. Review billing proformas for accuracy and completeness. Perform client, matter and timekeeper inquiries, and narrative edits. Maintain and regularly update billing spreadsheet regarding specific client rates and discounts.

Prepare and maintain spreadsheets and databases for legal files and initiatives

Open new matters and generate client conflict checks. Assist attorneys with conflict resolution and creation of conflict waivers and client engagement letters. Set up and maintain timekeeper’s work files, including daily and regular filing

Prepare annual and/or supplemental audit letter responses

File and maintain electronic documents and attorney emails in Filesite

Answers telephones and accurately takes and relays messages

Prepare and coordinate travel arrangements for attorneys

Assume responsibility for maintaining the highest level of confidentiality of all Firm and client information, records and files, both within and outside of the Firm

Requirements

Education and/or Experience:5+ years in similar position

Legal secretary certificate, associate’s degree or bachelor’s degree required

Law firm or professional services experience preferred

Must be proficient in Microsoft Office Products (Excel, Outlook, PowerPoint, Word). Must have strong knowledge of word processing

Experience with Nuance and DocXTools is preferred
