Bright, energetic and knowledgeable person needed full time (4 days M-Th) for office manager in a busy, high tech dental practice. Must have a minimum of three years of dental experience. Necessary skills include a knowledge of Microsoft Office, Eaglesoft, Excel and Powerpoint. Applicant must have a good understanding of dental procedures and ability to communicate these concepts with patients and staff. Dental marketing experience is a plus. Case presentation, scheduling for production, multi-tasking, and insurance knowledge is a must. Our office is very hi-tech utilizing, CEREC CAD/CAM technologies and Galileos 3-D Cone Beam. Our practice is a general practice providing most aspects of dentistry, including cosmetic dentistry, crown and bridgework, dentures, endodontics, periodontics, implants, TMJ and dental sleep medicine. We have a small but excellent staff and are looking for a leader to complete our practice. Excellent pay and benefits. Please send resume and references. TITLE: Office Manager

JOB CLASSIFICATION: Non-exempt REPORTS TO: Doctor/Owner

POSITION SUMMARY: Responsible for the smooth functioning of the office, providing general supervision of all business aspects of the practice. Implements effective management systems to ensure that practice goals are met, and exceptional patient care is delivered at all times.

PRIMARY DUTIES

Practice Management

o Work with the doctor(s) to establish annual practice goals

o Maintain an atmosphere of cooperation and understanding within the practice

o Schedule and facilitate routine meetings with doctor(s) and staff

o Analyze the progress of the practice

o Maintain inventory system and budget for business office supplies

o Monitor and update (as needed) system of correspondence for communications with patients, parents and referring doctors

o Perform additional projects or tasks as designated by the doctor(s)

Staff Management - Human Resources

o Recruit and interview potential staff members with the help of the doctor(s) and appropriate staff

o Make recommendations to the doctor(s) for hiring, terminations, and salary increases when appropriate

o Implement personnel policy, and maintain Employee Policy Manual

o Prepare and conduct regular staff performance reviews with the doctor(s)

o Participate in (and share with the staff) any discussions with the patients or parents regarding compliments or complaints

o Develop the calendar of patient days with consideration for staff and doctor(s) meetings, vacation, etc.

o Monitor attendance and grant or deny request for days off with approval of the doctor

▪ Record vacation time accrued and time off, with and without pay for all employees

▪ Determine day-off coverage schedule

o Implement and facilitate a new employee orientation protocol

Education and Training

o Update office literature and inform staff of new techniques, appliances, and trends in the profession

o Structure educational programs for self and staff to maintain the highest level of expertise in clinical and business functions

o Maintain current Practice Operations Manual

o Organize training sessions for new staff

o Set schedule for cross-training sessions for existing staff

Statistical Recordkeeping

o Generate monthly and yearly reports to review with the doctor(s) including:

▪ Patient Statistical Reports

▪ New patients entered into system

▪ Practice Management Reports

▪ Final Transactions Total

▪ Accounts Receivable Aging Reports

▪ Referral Source Report

o Organize and keep library of month-end statistics

o Monitor progress toward bonus incentive program based on records of collection

Payroll and Accounts Payable

o Produce payroll checks

o Assess accuracy of received invoices evaluate payables against monthly budgets

o Generate payments for invoices and statements

o Maintain file of invoices and statements

o Enter daily deposits into the bank balance. Provide the doctor(s) with accounting of bank balance monthly

o Forward monthly accounts payable report and balance sheet to accountant

Equipment Management

o Communicate with software vendors to keep current with changes, revisions or updates of software program

o Install new programs or updates of software programs onto practice computers

o Ensure that all equipment is maintained effectively

Other duties as assigned

DESIRED SKILLS

Strong knowledge of dental practice management

Education in management-related field preferred

Minimum five years' experience in general or specialty dentistry

Minimum two years' experience in supervisory role
