The Accounting Assistant-Equipment will be responsible for the administration of the company’s records related to owned and rented equipment. The position will make accounting entries for, and lend administrative support to, the management of the company’s equipment fleet. The position will report to the VP of Accounting & Business Intelligence and will work from the Beitzel Corporation headquarters in Grantsville, MD.
Accounting for equipment acquisitions, disposals and transfers
Assign equipment ID numbers to new capital purchases and record details for the equipment in Vista’s Equipment Management subledger system
Maintain depreciation schedules, insurance information and related info about owned and rented equipment in Vista
Update the company’s records and make necessary journal entries for equipment disposals and transfers between operating segments
Periodically reconcile fixed asset subledgers and roll-forwards to the general ledger
Facilitate periodic equipment audits
Distribute requests for audit confirmations to employees/operators
Track audit responses and interface w/ management about missing responses
Administrative support for equipment utilization and billing
Maintain equipment locations, in coordination with dispatcher
Perform billing of equipment, per billing guidelines
Monitor utilization of owned equipment and advise dispatcher/management about opportunities to avoid rental costs
Conduct routine assessments of underutilized equipment and perform job costing absorption (‘bill out equipment’) as needed
Administrative support for equipment rentals
Setting up new rental agreements in Vista
Assist Accounts Payable with making sales tax determinations for equipment rentals
Review and approve periodic (weekly/monthly) rental invoices for payment by AP
Maintain rates for rental equipment to be used in billing equipment to jobs
Administration for fuel inventory and fuel tax
Make accounting entries for fuel consumption out of bulk fuel inventory tanks
Prepare quarterly & annual fuel tax returns with supporting documentation
Assist with preparation of equipment records for annual financial statement audit
Compile source documents for the year’s equipment transactions
Finalize and reconcile acquisition/disposal/transfer roll-forwards to general ledger
Assist with preparation of state apportionment factors based on owned or rented property
Facilitate insurance coverage on equipment
Notify insurance agent about equipment being added to or dropped from insurance policies
Distribute proof of insurance internally among drivers of company vehicles
Assist the CFO in preparing records for the annual insurance renewal/equipment valuation process
Review incoming rental agreements for damage waivers & opt out when possible
Interface with state Departments of Motor Vehicles on the company’s behalf
Arrange for titling/registering newly acquired vehicles
Manage registration renewals for on-road equipment
Other tasks or special projects as assigned by the Director of Accounting & Business Intelligence
High School Diploma or equivalent required - Associate degree in Accounting or Business–Related discipline preferred
1-3 years of accounting or bookkeeping experience or any satisfactory combination of experience and training which demonstrates the knowledge, skills and abilities to perform the duties noted in this job posting
Prior knowledge and experience in accounting for equipment acquisitions, disposals and transfers preferred but not required
Familiarity with Viewpoint preferred but not required
Experience working in an Accounting department within the construction industry preferred but not required
Must possess strong mathematical and analytical skills – testing required
Ability to work independently and/or in a team environment
Proficient in organizational skills with a high level of attention to detail and accuracy
Demonstrated ability to excel under pressure and to meet deadlines
Intermediate knowledge of Microsoft Office, especially Word and Excel
Ability to communicate effectively (verbal and written) and to represent Beitzel Corporation and Pillar Innovations in a professional, competent and courteous manner – testing required
Ability to coordinate with cross-functional teams to accomplish common goals
Must be able to effectively adapt to ever-changing and ever-emerging needs of the organization
