Job Description

The Front Office Supervisor (FOS) is responsible for oversight of all front office and Medical Records duties. The position supervises the Health Information Management (Medical Records) staff, the Front Office Medical Representatives, and Telephone Operator. The Front Office Supervisor ensures Front Office Representatives (FOR’s) and medical records staff work as a team to assure optimal patient flow. The FOS represents the company professionally and positively to enhance and promote the core values and mission of the organization, always exercising utmost discretion, diplomacy and tact in patient/staff interactions. The FOS provides assistance to all providers and reports directly to the Practice Manager.

KEY ACCOUNTABILITIES:

  1. Provide supervision to Health Information Management (HIM) staff, Front Office staff, and Telephone Operator.
  2. Provide and promote excellent customer service to visitors, patients, and staff in person and on the phone.
  3. Serves as the NATIVE HEALTH recognized agency expert regarding the Health Information Records Program, including electronic health records.
  4. Responsible for clinic flow, front office to back office
  5. Supports the organization as needed

Qualifications

QUALIFICATIONS/EXPERIENCE/REQUIREMENTS:

  1. Bachelor’s degree and a minimum of five years of supervisory experience in customer service, patient registration, health information, and other medical office experience is required.
  2. Must have experience in handling or collecting cash payments.
  3. Bilingual in Spanish is preferred.
  4. Must have a valid and unrestricted Arizona driver’s license (within 30 days of hire if applicant is from out-of-state) with no DUI/DWI or reckless driving convictions in the last five years. No more than two at-fault accidents in the last three years. Must maintain a valid AZ driver license during employment and be able to drive agency vehicle to outreach locations. Must be 25 years and insurable by NATIVE HEALTH liability auto policy.
  5. Must pass a criminal background check with a Class I Fingerprint Clearance Card within the initial ninety (90) calendar days of employment.
  6. Must pass a substance abuse testing upon employment, and submit to a random testing during the course of employment.
  7. Must have an updated Immunization (IZ) Record.
  8. Must have a current (within 12 months) Tuberculosis (TB) skin report upon employment and provide an update annually.
  9. Must obtain a CPR Card within ninety (90) calendar days of employment and maintain a valid CPR card during employment.

KNOWLEDGE, SKILLS, AND ABILITIES:

  1. Expert knowledge in health information practices, concepts, and legal requirements.
  2. Able to multitask in a fast paced demanding area while remaining calm & collected.
  3. Knowledge of eligibility requirements of AHCCCS, CMDP, Sliding Fee Scale Program, and Title V.
  4. Understanding of the Health Insurance Portability and Accountability Act (HIPAA) and an ability to maintain strictest confidentiality of patients’ information.
  5. Knowledge of general office procedures including, answering phones, directing calls, photocopying, faxing, typing, etc.
  6. Possess a positive attitude.
  7. Skills in supervising personnel.
  8. Skills in utilizing an Electronic Health Records (EHR). As super user, supports training and operability needs of staff.
  9. Advanced computer skills including knowledge of software applications such as MS Word (EXCEL, PowerPoint and Outlook).
  10. Ability to work under minimal supervision while meeting all requirements of the position; Ability to make decisions independently.
  11. Ability to work with people and to make them comfortable in regards to the release of personal, financial, and medical information.
  12. Ability to work simultaneously with multiple levels of supervision and differing program requirements.
  13. Ability to communicate and engage others in order to carry out assignments, meet goals and ensure the success of NATIVE HEALTH.
  14. Ability to confirm private insurance benefits and determine associated co-pay requirements.
  15. Ability to receive and account for cash and check payments.
