Detrick, MD.ACURO is responsible for providing administrative and technical oversight of all research and testing protocols using animal models conducted by intramural and extramural laboratories funded by the US Army. ACURO reviews protocols for regulatory compliance and is the approval authority for animal use within USAMRMC.What You'll Be Doing:Generate reports as needed, using Oracle Discoverer to query the Information Management System (IMS) to access current workload or other specific information on ACURO projects.
Utilize canned reports or the Advanced Search tool in the Electronic Grants System (EGS) to generate data needed by senior ACURO staff.
EGS Upgrade and Maintenance
Participate actively in all meetings regarding development and maintenance of EGS modules.
Participate in testing of new modules and upgrades and provide input to developers regarding accuracy of processes and issues with operation. Notify COR of any issues that arise regarding use of the system or data maintained within EGS.
Site Visit and Compliance Inspection Reports-Finalizes, staffs, and distributes site visit reports to appropriate contacts and manages records of such reports.
Maintains tracking record of site visit reports, including but not limited to, staffing actions and response plan requirements
Distributes reminder notices for response plans.
Provides regular updates to senior ACURO staff on reports and response statuses.
Can Be Trained- Requires knowledge of applicable laws, regulations, and policies, including, DODI 3216.01, Use of Animals in DoD Conducted and Supported Research and Training, DHA MSR 6025.02, AR 40-33, the Animal Welfare Act and Regulations, The Guide for the Care and Use of Laboratory Animals, and PHS Policy on Humane Care and Use of Laboratory Animals, among others.
File Maintenance (ARIMS)-Organizes and maintains shared document repositories and labels files appropriately in accordance with Army Records Information Management Systems (ARIMS) requirements.
Periodically reviews electronic document repositories for appropriate filing and record labels. Reports recurrent errors to ACURO staff for awareness.
Can Be Trained- Requires knowledge of database management and data entry procedures for animal protocol and proposal information supporting regulatory and contract compliance tracking.
Training and Training Records Maintenance-Maintains all USAMRDC required training databases
Maintains ACURO training records and informs staff of upcoming deadlines and opportunities.
Complete and maintain all required training in accordance with Fort Detrick and USAMRDC requirements.
Supply Inventory-Conduct inventory of office supplies on a monthly basis to ascertain needs. Check with all ACURO staff to determine if additional supplies are needed to include Residency Director.
Develop comprehensive list of supplies needed, including detailed descriptions and item numbers. Utilize office supply catalog as needed to develop list.
Provide office manager with complete list or notification when supplies are needed to include books in support of Residency Program
Document Redaction: Use Adobe redaction tools to perform redactions of documents in accordance with ACURO leadership guidance.
Administrative Support to the Lab Animal Residency Training Program-Organizes event schedules to include but not limited to trainings, tours, leadership meetings, and morale events as well as preparing needed documents for such functions and reserving event spaces.
Attends and transcribes minutes from meetings.
Provides direct audio and visual support for trainings and meetings via a variety of virtual platforms to include, but not limited to TCONs, DCS, Adobe Connect, Microsoft (MS) Teams. Reserves locations, and participates in the preparation and clean-up of the event space.
Distributes program correspondence, including but not limited to event reminders and appreciation notices, which requires knowledge of Adobe Acrobat.
Drafts reports and renewals to maintain ACLAM recognized status of the residency program which requires strong and accurate typing skills and knowledge and experience in Microsoft Office programs.
Demonstrates advanced understanding and application of Microsoft Office programs to include prior experience with use of Outlook calendars for scheduling events and Microsoft Excel to manage data.
Reviews and edits documents for grammatical correctness as well as formatting that meets Army and USAMRDC standards.
Maintains and organizes documents in electronic databases.
Reserves government vehicles as needed.
Establishes and maintains current contact list of residency program participants as well contact groups/teams of the program participants in Outlook, MS Teams, and any other communication platform.
Develops, distributes, and collates program feedback/evaluations into a draft report for each semester and prepares metric reports using Excel or other Microsoft programs upon request.
Organize, update, and maintain residency program handbook and continuity book for review annually as well as developing instruction documents upon request.
Initiate access to the shared database and coordinate base and building access for program participants and visitors as needed.
Assist in organizing, development and distribution of quizzes and mock exams, residency certificates of completion, and orientation packages.
Provide other administrative support for the program upon request.
Security-Maintain current knowledge of animal rights groups’ activities and inform senior ACURO staff of planned demonstrations that could affect DoD sponsored projects.
Post Access-The Contractor must provide background information and other security information as needed for Post Security to issue Identification Card.
Be aware of personnel in building and report unusual activity or individuals. Keep doors and file cabinets secured when not in immediate area.
Document Security-Be aware that files maintained by ACURO office are sensitive to the public and are proprietary in nature and must be maintained securely.
Never discuss individual files or projects with individuals outside the organization; refer individuals seeking specific project information to senior ACURO staff.
Unused documents must be destroyed prior to discarding to maintain adequate security.
Official proposal or protocol files or documents related to these files may never leave the office without prior consent by COR or ACURO veterinarian.
Office Policy-Adhere to all ACURO work instructions (AWI) and policies.
Provide AWI review and input to senior ACURO staff regarding needed updates to policies.
What You'll Need:Bachelor's degree or equivalent work experience .
2 + years of administrative project coordination/ program analyst experience
Experience supporting the DoD or a scientific research group, preferred
US Citizenship with the ability to obtain/ maintain a security investigation.
