Reception duties

1. Bilingual

Writing and Speaking professional Spanish and English

2. Schedule Appointments

3. Prepare minors travel authorization letter to be notarized

a. Communicate with Client to obtain all needed information prior to getting notary signature, bring to Notary and deliver/notify to client letter is ready.

4. Greet Walk in clients with a smile & stand up

a. Offer water, coffee, point at restroom if needed,

5. Take phone calls

a. Create call Log in OT to take message, or direct calls accordingly (to team member or voicemail)

6. Work with POS system

a. Take cash and give change, Z read daily, take credit card payments, hand client receipt and print copy for us.

7. Mark client data sheet accordingly. Top right corner, receipt, ACH…….

a. (part of an SOP on how to complete a tax return)

8. Scan Tax documents

a. Tax, or any other requested document to be scanned by Bookkeeping or tax department. Assist with Faxing.

9. Prepare documents/packages to be mailed

Update/record the mail log and save records

10. Assist with preparing labels, binders, presentation folders, signs for office

11. Assemble tax return folders

12. Mail thank you cards

13. Check status of mail with tracking number when needed

14. Maintain reception and lobby area clean and organized

15. Receive and distribute mail

16. Receive online order and communicate to manager

17. Attend training on a regular basis

Must attend customer service training

18. Direct information/document/client to the proper team member.

19. Take documents from clients and take to the correct place.

Complete client document drop off form

20. Understand when to direct client to manager or owner.

21. Contact clients for signatures/ pick up documents or messages

22. Use the text messaging system in Crexendo (online software)

23. Facilitate information to Team members/clients

24. Assist Manager and other departments with tasks such as scanning, faxing, contacting clients, research

25. Add new clients to office tools system and update if necessary or if noticed latter.

26. Part time at the moment/ Full time at Tax Season
