Office manager/Paralegal/Medical Transcription – Job share

We are looking for a reliable, amiable, motivated self-starter who would like to work 10 to 15 hours a week. This would be a job share position with our present office manager who is working 20 hours a week. You would be supporting three reputable clinicians in the rehabilitation psychology field with the majority of our case referrals coming from attorneys. An excellent office manager is, above all, an organized and competent professional with excellent communication skills. This individual must be comfortable dealing with people and able to carry out multi tasking duties with accuracy and speed. This position will have somewhat flexible hours. This position can not be performed remotely but consideration will be given to working from home after the position is learned.

Qualities that we would ideally like to see in a candidate:

Post-secondary education in office, medical, or legal administration preferred

2 years proven administrative experience – medical and/or legal field preferred

Ability to handle diverse responsibilities

The ability to work independently and in tandem with our present office manager

Strong organization and communication skills

Experience in the medical and/or mental health field

Familiarity with the legal field

Attention to detail

Transcription skills

Accounts receivable/accounts payable experience (experience with QuickBooks preferred)

Proficiency with Office 365 (Word, Excel, Outlook, and PowerPoint) – experience in working on Mac OS a plus

Outgoing personality and ability to connect with people from a variety of different backgrounds

Job duties include:

Schedule evaluations, counseling sessions and meetings

Customer service, answer phones and greet clients

Provide information by answering questions from clients and referral sources

Perform transcription, type letters and reports

Perform quality assurance on reports

Operate office machines, such as copiers, scanners, and computers

Use a range of office software, including email, spreadsheets and databases

Create occasional PowerPoint presentations

Construct and generate invoices

Track accounts payable and account receivables

Enter information into our database

Order new office supplies, keep track of inventory of supplies

Having fun with staff and clients
