Responsibilities

Answer and direct phone calls

Receive and sort incoming mail, manage outgoing mail as well as deliveries when shop staff is not available

Maintain contact lists

Oversee and support all administrative duties in the office and ensure that office is operating smoothly

Produce and distribute correspondence memos, letters, faxes and forms

Develop and maintain a filing system

Assign jobs to technicians through company portal

Follow up with technicians on current projects and keep track of progress

Collect invoices and associated paperwork from technicians and prepare then to be sent to corporate office

Follow up with need or questions for existing customers

Ensure operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques

Manage office supplies inventory and place orders as necessary

Maintain parts supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies

Handle sensitive information in a confidential manner

Qualifications

High school diploma or equivalent

Valid Driver's License

2-5 years of work experience in customer service/administrative/office management role or proven admin or assistant experience

Must have exceptional attention to detail

Must be a self-starter and driven

Strong organizational and time management skills

Excellent communication and interpersonal skills

Strong problem-solving skills and analytical abilities

Must be proficient with Microsoft Office and Google products. QuickBooks a plus

Flexible.

Part time to Full time.
