ResponsibilitiesProvide administrative support to ensure efficient operation of the organization. Support leaders and co-workers by assisting in a variety of tasks related to the operation. Responsible for confidential and time sensitive material. Interact and communicate with personnel from various departments. Provide administrative assistance, type memos, letters, reports and other related items. Assure that assignments are error free, formatted appropriately and completed on a timely basis. Demonstrates good judgment, independent thinking and good time management skills.

Effectively prepare and create presentations, reports and graphs utilizing Microsoft Office applications

Schedule appointments and maintain calendars accurately. Coordinate meeting arrangements, including reservation of conference rooms, obtaining equipment and other specialty items as needed.

Assure that office supplies are ordered in a timely manner and remain within budget. Ensure that leases are up to date on all office equipment.

Complete accounts payable and work with Finance Department to ensure invoices are appropriately coded.

Act as liaison between Telecommunications and office. Act accordingly to effectively solve any issues that arise, including but not limited to, phone outages and power outages.

Act as liaison between HMH Realty and office to assure that problems/issues are addressed immediately and resolved timely, while keeping staff informed. Ensure that all moves (desks/offices/new locations) are completed accurately and in a timely manner without interruption in operations.

Responsible for the oversight of the organization's vendors. Work with other staff in the organization when changing vendors to keep all informed.

Assist with cell phones and maintain as appropriate.

Other duties and/or projects as assigned. Demonstrate flexibility with job responsibilities in all areas.

Adheres to HMH's Organizational competencies and standards of behavior.

Lifts a minimum of 10 lbs., pushes and pulls a minimum of 10 lbs. and stands a minimum of 2 hours a day.

QualificationsEducation, Knowledge, Skills and Abilities Required: Associate's Degree

Three (3) or More Years Administrative Experience

Proficient in Google Workspace

Strong Customer Service Background

Excellent Organizational Skills
