As the External Project Coordinator, you are responsible for overseeing the implementation of projects and client communications from the deposit to final payment. This role requires patience, excellent communication skills, and a passion for customer service. You are comfortable with technology, including email and chat tools, along with data entry programs. You work effectively in stressful situations. You are expected to consistently represent the GreenSavers brand and hold your team to the highest standards of safety and professionalism. Your main purpose is the ensure the client experience is top-notch and they are 100% satisfied throughout the project.

Top responsibilities:

● Complete projects within the targeted gross margin. Monitor monthly production numbers, consistently discussing with management.

● Respond to all client questions and concerns in a timely, professional manner.

● Conduct pre-project inspection of the jobsite.

● Address issues before they arise or escalate.

● Clarify job scope and customer contract with the sales team.

● Identify the resources needed to complete each project. Communicate with Internal Project Coordinator to ensure ordering happens.

● Review finished projects with clients, address any last concerns or punch list items, and secure final payment in a

timely manner.

● Complete and submit all project documentation.

● Implement new procedures and refine old procedures for increased efficiency.

● Serve as the first point of contact for clients or prospects.

● Ensure all client review materials are in place and completed.

● Introduce and promote products and services appropriate to client needs.

● Evaluate the customer point of view and suggest alternatives, recommendations, and solutions.

● Follow established policies, practices, and procedures and provide feedback for improvements.

● The client support associate is responsible for the daily support of our clients.

● Collect payment from clients.

● Adhere to the department policies and procedures for client requests, changes in project scope, and real time project changes.

General Responsibilities

● If you operate a company vehicle, you must meet the requirements for licensed drivers (p.18).

● Always follow GreenSavers guidelines for harassment, violence, and bullying (p.19-20).

● Represent the GreenSavers brand, especially when interacting with clients.

Qualifications:

● Excellent conflict resolution skills. Ability to handle and diffuse difficult situations and client concerns in a positive manner

● Superior verbal and written communication skills

● A high degree of professionalism, tact, and ability to influence others

● Success prioritizing diverse responsibilities. Proven ability to meet deadlines without compromising contract intent, relationships with team members, or customer service

● Sound judgment. Ability to make decisions, work independently, and seek assistance from team members when necessary

● Valid driver license

● Intermediate skills with Microsoft Word, Excel, and CRM software

Preferred Qualifications:

● BPI Certification

● Experience managing HVAC, residential remodel, window, or insulation crews

● Spanish fluency

● Mechanically minded with an understanding of building systems / construction methods
