Internal Project Coordinator

Purpose:

As the Internal Project Coordinator, you are responsible for supporting projects and collaborating with the External Project Coordinators from the deposit to final payment. This role requires resourcefulness, creative problem solving, and the ability to anticipate business needs . You are comfortable with technology, including email and chat tools, along with data entry programs. You work effectively in time sensitive situations and enjoy building systems to improve efficiency. You are expected to consistently represent the GreenSavers brand and hold your team to the highest standards of safety and professionalism. Your main purpose is the collaborate with the External Project Coordinator to ensure the client experience is top notch by supporting the materials, labor and background functionality of each project.

Top responsibilities:

Complete projects within the targeted gross margin. Monitor monthly production numbers, consistently discussing with management.

Clarify job scope and customer contract with the sales team.

Identify the resources needed to complete each project. Communicate with External Production Coordinator to ensure accurate materials are purchased.

Implement new procedures and refine old procedures for increased efficiency.

Adhere to the department policies and procedures for client requests, changes in project scope and real time project changes.

Estimate production costs, cost-saving methods, and the effects of process design changes on expenditures for management review, action, and control.

Complete production reports, purchase orders, and material, tool, and equipment lists.

Draft and design layout of equipment, materials, and workspace to illustrate maximum efficiency.

Coordinate and implement quality control objectives, activities, or procedures to resolve production problems, maximize product reliability, or minimize costs.

Perform quality control for Production Department as determined by Production Manager.

Warehouse Management:

Maintain system for warehouse storage, inventory tracking and organization.

Advise installers, production staff and office staff on protocols for storage and receiving

Recommend methods for improving utilization of personnel, material, and utilities.

Implement methods and procedures to deal with excess material and defective or damaged parts, assessing cost of storage and responsibility for resolution.

Schedule deliveries based on production forecasts, material substitutions, storage and handling facilities, and maintenance requirements.

Ensure shipments are inspected, QA is performed, defects are reported to manufacturers within required time, enter products into inventory

Work with External Project Coordinator to ensure alternative equipment and transportation is arranged when maintenance or repairs are being performed.

General Responsibilities:

If you operate a company vehicle, you must meet the requirements for licensed drivers (p.18).

Always follow GreenSavers guidelines for harassment, violence and bullying (p.19-20).

Represent the GreenSavers brand, especially when interacting with clients.

Qualifications:

Success prioritizing diverse responsibilities. Proven ability to meet deadlines without compromising contract intent, relationships with team members, or customer service

Sound judgment. Ability to make decisions, work independently, and seek assistance from team members when necessary

Valid driver's license

Intermediate skills with Microsoft Word, Excel, and CRM software

Preferred Qualifications:

BPI Certification

Experience managing HVAC, residential remodel, window, or insulation crews

Spanish fluency

Mechanically minded with an understanding of building systems / construction methods
