Location: New York City, NY Description: Operations Associate ManagerLocation: Remote -Must be able to work EST time zoneSchedule: M-F: 8a-5pmStart Date: ASAP Contract length: 3 months and will extend 6 months with option to extend further or convert to full-time employmentJob Description SummaryOur client is seeking a detail-oriented Operations Associate Manager to drive delivery of successful vendor and contractor management within the Creative & Design division. This includes but is not limited to managing vendor onboardings, coordination of Procurement and Legal contract reviews/approvals, invoice and budget consolidation, and support the Operations Manager to scale up internal and external key partnerships. A successful candidate will be highly detail-oriented while working in a fast-paced environment, proactive, organized, and adaptable. Reporting to the 'Team Ops' Operations Manager, this candidate will serve as a central point of contact with key internal and external partners, and customers to ensure process compliance. This role will begin as a three-month engagement with the opportunity to extend, depending on the department program development. Key Responsibilities:• Assist with Vendor management for the Creative & Design org. Work with business partners to onboard vendors, talent and customers with appropriate paperwork. This will include working closely with the client's Legal and Procurement teams to help process contracts (e.g. NDAs, MSAs, SOWs and Independent Contractor Agreements) and meet key deadlines. • The majority of C&D contracts are production based and will require this role to assist the client's producers to secure compliance paperwork items such as COIs (Certificate of Insurance) by partnering with the client's Treasury team for review and approvals; and capture talent usage rights contract language partnering with our Business Affairs lead. • Own processing expedited NDAs, waivers and releases working with Contracts team, Jira, I-Certis and DocuSign systems. Store final executed vendor and talent contracts in the specified Sharepoint site. • Secure PO/SCONs and invoices for vendors/talent working closely with Procurement, Invoice and Accounting teams. Ensure payment approvals and managing any expedited payments needed. • Provide operational contract support (including customer/talent set up and payment set up) for all Global Talent Hub. • Maintain and update the Operations SharePoint site and the Master Vendor tracking sheet. This includes uploading new JDs and final executed contracts. • Assist in documenting process and policy updates. This includes updating the Operations & Business Affairs Master presentation, documenting evolved specialty payment steps, and issuing meeting recaps as requested. • Support the Operations Manager in updating and maintaining the Team Ops Internal Training presentation, and co-lead Team trainings. • Onboard and offboard Contractors through Calabria, the client's Vendor management agency or directly with the client's Vendor team. This requires working with internal hiring managers to get the proper paperwork and tools in place for a successful start date.• Support and strengthen Operations relationship with the head of production. Help manage Legal and COVID-19 compliance feedback, and proactively identify areas of improvement within the production workflow. Discuss strengths and weaknesses within the process. • Provide support for the Production department's production credit card (p-cards) and production expense needs.• Provide support for maintaining the Creative & Design Travel, EAI and Training budgets. • Conduct general research for upcoming campaigns, internal team events or other opportunities, as requested. Skills and Abilities:• Command of Microsoft Office Suite (PowerPoint, Excel) and key organizational tools (Jira, I-Certis, Workfront and/or Sharepoint) • Strong oral and written communication skills- someone who can clearly distill key project details into a digestible and persuasive format to present to stakeholders, managers and leadership.• Adaptable in a fast-paced environment• Strong organizational and time management skills• Strong attention to detail • Strong interpersonal skills, ability to build and leverage cross-functional relationships• Proactive, with ability to work independently • A passion for delivering the best in customer care.
