GENERAL JOB DESCRIPTION
Responsible Administrative Assistant to perform a variety of administrative, clerical, and accounting tasks.
Duties include providing support to our managers and employees, assisting in daily office needs and managing our company's general administrative activities. Also, answering phones, greeting clients, purchasing, invoicing, account reconciliation, assist with accounts payables/receivables.
The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools, like MS Office and office equipment.
MAJOR DUTIES AND RESPONSIBILITIES
Answer and direct phone calls in a polite and friendly manner
Maintain reception area keeping it clean and well organized at all times
Operate standard office equipment on a regular basis, including phone, fax machine, a copy machine, and a computer
Keep detailed and accurate records of calls received
Receive deliveries; sort and distribute incoming mail
Take inventory of supplies and restock as needed
Take detailed, accurate messages and deliver them in a timely manner
Scheduling
Running errands
Stocking supplies
Sorting and sending mail
Answering and routing phone calls
Managing social media
Greeting visitors
MINOR DUTIES AND RESPONSIBILITIES
Copy and scan paperwork
Communicate with moving crews
Maintain inventory of supplies
Prepare shipments
Prepare various report for management and maintain required forms and logs
Set up appointments for surveys/deliveries
Filing and organizing paperwork
Ability to drive company van and perform site-surveys
QUALIFICATIONS FOR THE JOB
High school diploma or general education degree (GED) required
3 years of relevant experience in an office environment
Proficient in Microsoft Office
Strong phone skills
Demonstrated ability to read, write, and speak English, ability to speak Spanish is a plus
Comfortable multi-tasking and prioritizing tasks
Excellent interpersonal skills
Punctual with strong attendance history
Professional presentation/office appropriate wardrobe
