GENERAL:

In accordance with the Hot Springs County Memorial Hospital Personnel Policy and Procedure Manual and the requirements of our accrediting bodies, the employee will: support the mission Partnering with our community for quality health and healing", the five core values "Ownership, Always better than yesterday, Service first, Integrity, and Stewardship of our resources (OASIS). Position Summary

The unit secretary performs duties and tasks in accordance with performance standards established for the position. The unit secretary may have access to highly confidential patient, employee and/or hospital proprietary information, and must handle & protect the information in accordance with hospital policies, HIPAA requirements and the highest level of ethical standards. The unit secretary is responsible for reporting all security events, potential events, or other security risks to the hospital. The unit secretary is responsible for participation in and completion of all patient safety initiatives appropriate to the position, and conducts all job responsibilities according to the Mission and Values of Hot Springs County Memorial Hospital.

ESSENTIAL DUTIES AND RESPONSIBILITIES

1. Clerical duties including but not limited to answering and screening telephone calls, coordinating patient admissions, transfers and discharges, coordinating special tests, scheduling appointments and notification of physicians and/or appropriate staff of consultations, activations, diversions, etc.

2. Registration duties including but not limited to registration of patients, insurance verifications, split sheets, status changes, registration audits and corrections.

3. Maintain and update physician daily and monthly on-call schedules.

4. Maintain and update census, logs and status boards as designated by Director of Nursing.

5. Maintain organization of patient charts, assure charts are completed with patient information prior to sending to HIM.

6. Charge duties including but not limited to charge entry, charge auditing and charge corrections.

7. Maintains organization of area while making sure area is clean and well stocked, and equipment i.e. fax machine, copier, printer is in working order and stocked.

8. Ordering of supplies for nurse's station, etc.

9. Other duties as assigned.

QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION and/or EXPERIENCE

The Unit Secretary shall:

1. High School graduate or equivalent.

2. Must possess strong interpersonal skills, clear communication skills and the ability to understand specific instructions.

3. Must possess organizational skills, work well under pressure and be highly motivated.

4. Seeks proficiencies in computer applications, e.g. word processing, spread sheets, database, presentation, and project publication

LANGUAGE SKILLS:

Ability to read, analyze, and interpret common scientific and technical journals, financial reports, and legal documents. Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community. Ability to write policies and procedures that conform to prescribed style and format. Ability to effectively present information to top management, public groups, and/or boards of directors.

MATHEMATICAL SKILLS:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and is knowledgeable in metric, apothecary and household measurements and can convert from one system to another.

REASONING ABILITY:

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Ability to modify care based on the developmental / functional age of the patient as well as that of the patient's ethnic background.

OTHER SKILLS AND ABILITIES:

Ability to interact with patients, families, visitors and co-workers. Ability to interact assertively and tactfully when dealing with conflict and in group solving activities. Ability to demonstrate a professional, open minded approach in identifying problems and resolving problems/conflicts.

While filling this position, the employee must regularly lift and or move 10 pounds and occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this position include close vision, distance, vision, color vision, peripheral vision, and depth perception. This position also requires walking or standing to a significant degree. This position also requires reaching, handling, fingering, feeling, talking, and hearing, stooping, bending, crouching, and working with equipment.
