This individual is responsible for entering data, compiling spreadsheets and preparing various department related reports. This position supports all Manufacturing personnel and interfaces with various vendors and internal and external customers of all levels. This position requires a high level of professionalism, initiative, discretion, and flexibility along with the ability to work independently with little or no supervision.Key Responsibilities

Collects and enters data related to all inbound and outbound raw materials and products including, but not limited to process flows, log sheets, shift reports, shipping/receiving reports, meter readings, etc. Maintains records; forwards to personnel as appropriate.

Calculates and tracks tons produced and current inventories; produces various statistical reports on a daily, weekly, and monthly basis, as specified. Enters requisitions for liquid inventories as needed.

Generates weekly schedule for raw materials delivery as directed by manager; enters requisitions for all raw materials. Responsible for all data entry, processing paperwork, and coordinating activities related to incoming and outgoing railcars and trucks.

Creates and updates various spreadsheets to reflect information including, but not limited to production and inventories; researches, evaluates, and calculates historical statistics from spreadsheets as requested by management.

Maintains files including, but not limited to employee records, goal sheets, training rosters, department’s lockout, eyewash, PSM and Department of Transportation documentation in accordance with all applicable regulations; files standard operating procedures (SOP), employee records, and production records.

Tracks employee repair activities to include efficiency and accuracy, and arranges Maintenance callout list.

Maintains accurate and thorough equipment/parts files and records of repair. Maintains current parts list and verifies accuracy with Bill of Materials (BOM). Responsible for data entry and initial system setup for all new equipment and/or parts. Creates parts requisitions as needed.

Accountable for entering data and preparing reports related to the planning, scheduling, and tracking of work orders. Responsible for creating, maintaining, and closing all work orders through JD Edwards. Communicates progress and data related to work orders by running reports for Supervisors, Planners, and Management as required.

Process invoices, manage daily activities related Unifirst uniform services.

Assists with coordinating JAC special events including, but not limited to apprentice graduation, etc.

Answers and screens phone calls for the department and directs other calls as appropriate.

Responsible for supporting supervisors with department payroll; ensures that employees are paid appropriately for all hours worked by following wage and hour laws and the collective bargaining agreement. Works with HR to ensure payroll errors/issues are corrected so that payroll is completed and submitted timely.

Tracks and maintains accurate records of employee attendance and timely submits Absence Management Forms to HR.

Maintains office equipment and orders office supplies as needed; completes various clerical work to include but not limited to copying, faxing, etc. Prepares routine and confidential letters, memos, and reports.

Assists with department and individual supervisor’s budgets, ensures correct allocation, appreciation, etc.

Maintains a neat, clean and organized area (including meeting and break rooms); maintains schedule for meeting rooms. Assists with planning and coordinating meetings (scheduling, coordinating food service, hotel and transportation reservations etc. Coordinates and prepares topics for safety meetings.

Prepares routine and confidential letters, memos and reports and scribes for meetings as assigned.

Maintains safe working environment by complying with all rules and regulations, and continuously practices safety while performing duties.

Typical EducationHigh school diploma or GED; or an equivalent combination of education, training, and experience. Associates degree preferred.Relevant Experience

Minimum of three to five (3-5) years of related experience and/or training.

Basic knowledge of mechanical equipment and/or parts preferred.

Basic math skills required; accounting/bookkeeping skills helpful.

Must type at least 40 wpm and be able to type 10-key by touch.

Excellent verbal, written communication, time management skills, and attention to details.

Must have proven customer service skills with the ability to manage difficult situations, responding promptly to internal and external customer needs and meet commitments.

Must be able to balance multiple tasks and work well under pressure.

Strong interpersonal skills with the ability to establish and maintain positive working relationships. Must project a professional image and demeanor.

Required to maintain reliable, regular attendance and must be available to start work as early as 6:00am.

This job requires the ability to work in excess of eight hours per day, off-duty hours, and weekends to reach operational goals and compliance requirements. Job duties may require the ability to climb stairs, climb ladders, bend, stoop, reach, lift, grip, push, pull, move and/or carry equipment which may be in excess of 25 pounds. Finger dexterity may be required to operate a computer keyboard and calculator.

Working in this plant operations environment requires the use of safety equipment to include, but not limited to safety glasses, hearing protection, steel-toed boots, hard hat, and uniforms (in designated areas). Loose fitting clothing, open toe/heel shoes and the wearing of contact lenses is not permitted.

Working knowledge of:

Microsoft Office applications to include but not limited to Excel, Word, Outlook, etc.

Kronos - preferred
