Job Purpose: To coordinate all administrative functions for smoothly executed Service Department for Electrical Contractor including client communications, scheduling, and end of job transition to accounting department

Essential job responsibilities

Work with Service Manager to ensure all documentation for new work is implemented in a timely fashion

Review with Service Manager any schedule discussion, job specific information critical to production within the service department

Maintain project files & distribute all changes and updates to appropriate team members

Track and log all correspondence, changes and extras for contract work

Manage all time and material data sheets to process for billing

Under direction from Service Manager – process necessary permits and inspections for work in progress

Maintain and update all permit and inspection tracking logs

Utilize Service Dispatch for job scheduling and work orders.

Contact homeowners to inform them of schedule dates as directed by Service Manager

Prepare all contract billing for processing for Accounting department

Process billing reports for billing meetings and accounting department

Provide Job close out reporting and documentation at job end.

Required skills

Strong organizational skills for file management and schedule tracking

Computer mastery of all Microsoft office programs such as Word, Excel, Outlook.

Experience with Foundation for Construction/Service Dispatch or other similar software and Adobe a plus

Telephone skills to communicate with contractors, customers, and inspectional services

Ability to work with others in a team setting both within individual departments and with administrators in other departments

Ability to operate in a fast paced, multitasking environment

Job Type: Part-time with potential for Full-time
