Performing a variety of administrative tasks, including preparation of documentation (letters, briefings), answering telephone calls, scheduling and prioritizing meetings, sorting and screening mail, etc.

Preparing materials including schedules, meeting read-ahead material and supporting materials such as biographies, action items, and travel documentation.

Assisting in arranging travel in support of the cognizant divisional and departmental leaders.

Preparing itineraries, arranging conferences and required support services.

Assisting in monitoring pending projects, coordination of inputs for action items, and compilation of inputs into precise and accurate final documents.

Providing administrative support for meetings, including scheduling, audio-visual connections, note taking, developing information packets, providing supplies and refreshments, etc.

Planning, coordinating and supporting a variety of meetings and presentations including arranging for venue, catering, duplication of materials, audio-visual needs, etc. Assessing and improving processes as needed.

Developing and executing key communications.

Maintaining security and integrity of highly sensitive and confidential information.

Working in a collaborative team atmosphere; closely working with Administrative Assistants and other teams both in McLean, VA, and Bedford, MA and providing back-up assistance as needed to other Administrative Assistants.

Required Qualifications:

Requires high level of poise, initiative, tact, professionalism, and diplomacy in working closely, often under time pressure, with highly-sensitive information, with a diverse group of executives, government officials, high-ranking military officers, customers, managers and support personnel.

Must demonstrate emotional intelligence and empathy when dealing with various stakeholders.

Strong interpersonal, written and verbal communication skills and the ability to operate and team with MITRE management, staff and clients are a must.

Must effectively apply strong self-organization and time management skills, with considerable emphasis on self-initiation, independent decision making, accuracy and follow through on a broad range of administrative support tasks.

Must have demonstrated competence in the latest mobile (including iPhone), desktop, and VTC technologies.

Exceptional Microsoft Office Suite skills to include Excel, SharePoint, OneDrive, Teams.

Preferred Qualifications:

Experience supporting fast-paced executives.

Experience setting up and supporting meetings using VTC technologies including Zoom, Adobe Connect, Cisco WebEx and/or Microsoft Teams.

Bachelor’s degree
