Property Management Services, Inc. has been in business since 1978. During its long life it has survived and thrived through many ups and downs of the Oklahoma economy. Continuous growth has ensured stable employment—in our 42 years we have never had a layoff and never had to curtail working hours.
In addition to an engaging and challenging work environment, some of us are involved in volunteer work, primarily at correctional facilities. While purely optional, many enjoy the opportunity to make a difference in the lives of others.
Proficiency with QuickBooks and Office programs required, along with a basic understanding of payroll, accounts payable/receivables and tax forms.
Knowledge of real estate leasing and sales helpful, but not essential—we will teach you this business!
Office Manager Duties and Responsibilities:
Overseeing the work of all office employees to ensure they work productively and meet deadlines and company standards
Maintaining office services by organizing office operations and procedures, preparing payroll, controlling correspondence, designing filing systems, reviewing and approving supply requisitions, and assigning and monitoring clerical functions
Designing and implementing office policies by establishing standards and procedures, measuring results against standards, and making necessary adjustments
Completing operational requirements by scheduling and assigning employees; following up on work results
Keeping management informed by reviewing and analyzing special reports; summarizing information; identifying trends
Maintaining office staff by recruiting, selecting, orienting, and training employees
Maintaining office staff job results by coaching, counseling, and disciplining employees, and planning, monitoring, and appraising job results
Supervise and coordinate all activities of positions supervised. Recruit, evaluate, schedule, and administer promotional/disciplinary action toward employees supervised. Conduct regular performance appraisals for employees supervised. Ensure orientation, training, and staff meetings are provided to employees supervised
Achieving financial objectives by preparing budgets, scheduling expenditures, analyzing variances, and initiating corrective actions
Contributing to team efforts by accomplishing related results as needed
Other duties as assigned
Office Manager Qualifications / Skills:
Three plus years of prior general office management, administrative, customer service or business management preferred
Proficiency with QuickBooks and Microsoft Office programs is a must, along with a basic understanding and experience with accounts payable/receivable, expense reports and payroll processing
Knowledge of real estate leasing and sales helpful, but not essential—we will teach you this business! Experience with AppFolio or Buildium software is a plus, but not required
Strong written and verbal communication skills to produce reports, assign tasks, accept instructions and handle vendor contracts, among other tasks
Organizational skills and the ability to multitask to complete a wide variety of tasks
Flexibility to help them adjust to new tasks should company or office need change
Strong interpersonal skills to interact positively with all employees
Leadership ability to manage challenges and oversee employees
Attention to detail to ensure tasks are completed thoroughly and correctly

Starting pay will depend upon experience, but be assured that we will assemble a compensation package that will attract the “rock star” manager that you are (or aspire to be). Plus visits to various managed properties and projects
Typical Schedule:
Monday through Friday: 8:00 a.m. to 6:00 p.m.
Alternating Saturdays: 8:00 a.m. to 2:00 p.m.
Education, Experience, and Licensing Requirements:
High school degree, GED, or equivalent. College degree preferred
Valid driver’s license and insurable driving record
