Real estate assistant desired for top producing agent in a busy, fast paced, dynamic technologically advanced office! We are looking for a detail-oriented assistant with strong organizational skills and a positive, can-do attitude. An ideal candidate is someone who understands the big picture while executing tasks efficiently and consistently until the goal is achieved. Must have two or more years of administrative experience. Real estate experience is not required, however, if you have residential real estate experience and or have supported others in this capacity, it’s a plus.

Responsibilities included but not limited to:

● Build, implement and manage all systems for sellers, buyers, lead generation, database management, information management, and back-office support

● Serve as liaison and central point of information on behalf of the Agent with

internal and external communication, provide information, status updates, and

assist with the coordination of activities

● Act as a gatekeeper; keep lead agent free from distractions

● Provide a high-touch, “concierge-level” customer experience to clients

● Fulfill client requests for information or other relevant transaction services in a

quick and professional manner

● Oversee all contracts through closing via Transaction Coordinator

● Manage and nurture vendor relationships

● Assist Agent with managing buyers, sellers, agents, escrow officers, inspectors,

lenders, etc

● Coordinate the purchase, installation, and maintenance of all office equipment and

supplies, run errands as needed

● Proactively coordinate, assemble, and disseminate documents, as well as presentations and other materials required for meetings

● Create and maintain a strong marketing campaign consisting of e-mail campaigns,

direct mail, and social media

● Monitor deadlines and provide notices to appropriate parties when necessary

● Keep the agent engaged with SOI on a regular basis and assist with managing the daily schedule

● Responding to and working with incoming leads

● Articulate vision and oversee home prep projects

● Light bookkeeping - responsible for processing and recording invoices

● Prepare property and manage showings at listings

● Initiate MLS new listings and data entry

Key skills:

● Knowledge and practical use of PC products, Google Suite, Social

Media, Dropbox, DocuSign and Skyslope

● Some contract knowledge—CAR & PRDS forms

● Strong written and verbal communication skills

● Project management abilities

● Great ability to focus

● Independent, organized, and detailed orientated

● Calm under pressure

● Learning-based

● Service-based attitude

● Proven ability to succeed

● Able to make decisions with a solution in mind

● Understands how to prioritize tasks

Must have a CA drivers license and live within a 25 mile radius of Los Gatos.
