Under general direction, delivers intake services to participants receiving autism services and to interventionists providing services. Serve as a primary point of contact for scheduling matters related to assigned region, and maintain accurate participant and interventionist information in databases for scheduling treatment and billing of autism services

Maintains frequent professional and courteous communications with ESSC associates, KP, participants/families, and other contacts and accurately relays messages as needed.

Respond to all KP emails (reports & issues)

Respond to all billing inquiries

Respond to all inquiries from Regional Center Coordinators

Send out participant termination notifications to appropriate parties

Provide status updates for missing authorizations as needed Records & Data Entry

Manages & maintains an accurate computer-based records keeping system; includes data entry.

Oversees Intake Department accurate upload of daily participant authorizations received by KP

Ensures that participant documentation is uploaded to appropriate healthcare system as outlined in Task List

Documents correspondence in computer based records keeping system (NPA, APS, etc.)

Complete & correct all errors reports on Errata report sent from Accounting

Maintain Regional Center copay spreadsheet

Upload reports/welcome packets/documentation to healthcare system

Maintain monthly Medi-Cal list and send to appropriate parties as outlined in Intake TaskList Reports & Compliance

Review reports as directed to ensure hygiene of data entry in practice management systems (NPA, APS, Client Repository, etc.)

Compile Intake data and send to Manager of Intake and Reporting monthly

Track authorization issues & follow up with KP as needed

Track missing authorizations for all departments and communicate to KP as needed Safety Management

Associate's degree and 2 or more years scheduling and/or supervisory experience, or the equivalent combination of education, experience and training that provides the required knowledge, skills and abilities.

Demonstrated ability to work independently, produce high-quality results while handling competing priorities including a high volume of phone calls, perform data entry, schedule appointments for multiple team members, and dispatch phone calls. Ability to maintain positive customer service interaction, and a high degree of professionalism

Knowledge of wage and hour rules and regulations, with the ability to apply policies and regulations

Demonstrated ability to apply good judgement and decision-making skills, interpret and implement policies, procedures, and state and federal regulations

Ability to exercise discretion and maintain a high level of confidentiality

Ability to communicate effectively through oral and written skills, and work cooperatively with a variety of individuals and groups

Proficient in Microsoft Office (Outlook, Word, Excel) and related computer software, and ability to learn new software programs as needed
