WestEd is a nonpartisan, nonprofit agency that conducts and applies research, develops evidence-based solutions, and provides services and resources in the realms of education, human development, and related fields, with the end goal of improving outcomes and ensuring equity for individuals from infancy through adulthood.

WestEd has multiple offices nationwide, from Massachusetts, Georgia, and Washington, DC, to Arizona and California, with headquarters in San Francisco.

Position Overview :

The Postsecondary Education and Workforce Development Group at WestEd is focused on strengthening the role of postsecondary education and training in workforce and economic development, improving student access and outcomes in postsecondary education, and increasing economic mobility for low income families and communities.

The Project Coordinator, under the direction of Project Directors and Senior Program Managers, will provide professional level project coordination for diverse projects that support the mission of the workgroup.

These include our work on statewide and regional data tools, our expanding portfolio of workforce development projects, and new projects focused on guided pathways and equity.

Responsibilities :

Provide high level support to project directors and staff for complex projects focused on improving education systems.

Contribute to the development and management of project work plans to ensure timely production and submission of deliverables.

Track and document progress toward milestones, communicate timelines and necessary steps to ensure smooth and timely workflow among project participants, and identify and track issues and risks, escalating as necessary.

Facilitate and document internal and external project communications : Schedule meetings, develop and disseminate meeting agendas and written materials, prepare meeting summaries, document and communicate decisions and action items

Ensure consistency of approach across the program by following established processes and protocols while engaging in process improvement, when appropriate

Develop mastery of WestEd tools such as : Box, Smartsheet, Power point, Excel, and Word in order to apply them to project processes.

Act as an expert-resource to program staff in effective use of these tools

Coordinate development of project products, establishing and tracking to a production schedule, communicating needs and deadlines to proposal team members, following established WestEd processes to ensure internal approvals are obtained, and overseeing quality control efforts to ensure all proposal requirements are met

Develop and apply familiarity with content knowledge and key concepts within project / service areas integrating that familiarity into the development of meeting notes, project correspondence, reports, presentations, and spreadsheets for internal and external audiences.

Interface on a regular basis with internal staff at all levels in the organization, building effective relationships

Supervise tasks conducted by administrative assistants and track budget in collaboration with the LI financial analyst.

Ensure quality control for all deliverables

Coordinate logistics for travel and event planning for large meetings.

Qualifications :

Bachelor's degree preferred or commensurate level of professional experience

Two-to-Three (2-3) years of successful project coordination experience

Affinity for applying structure to team activity; highly organized, appreciate the need for rigorous documentation, flexible enough to adapt plans to rapidly changing circumstances

Proven ability to work in a fast-paced environment and attend to short- and long-term priorities simultaneously

Mastery of business tools; ability to quickly adapt to using new tools or software, including online learning platforms and video systems

Excellent writing skills and ability to research and summarize resources through online searches

High-quality collaboration skills for both internal and external stakeholders, including excellent interpersonal communications, dependability, reliability, and professionalism

Successful project management experience with a demonstrated history of ability to organize complex projects with multiple deliverables on time and on task

Team Player; detail oriented, enthusiastic.

Compensation is competitive, depending on experience.
