ACCOUNTING MANAGER/ADMIN ASSISTANT
This position will be responsible for assisting in all aspects of accounting, including accounts payable, accounts receivable, collections, and payroll. In addition, they will provide support to company executives while also completing general office administrative tasks. Accounts Payable-
Accurately receive, process, verify and reconcile invoices
Prepare/distribute vendor payments on a weekly basis
Verify vendor accounts by reconciling monthly statements and related transactions
Maintain accounting ledgers by verifying and posting account transactions
Enter information for purchase orders and maintain purchase order records
Maintain and file all invoices and supporting documentation
Perform monthly reconciliations
Audit and process credit card bills
Address and respond to vendor inquiries
Assist in preparing reports, 1099s, and other documents as needed
Additional duties as assigned
Accounts Receivable-
Post customer payments
Post daily ACH reports
Prepare and deliver weekly bank deposits
Process credit card charges & refunds
Prepare/distribute monthly customer statements
Maintain bookkeeping database and spreadsheets, updating information as needed
Collect on past due accounts
Investigate and solve account discrepancies
Additional duties as assigned
Customer service/ Sales-
Assist customers with payments made by phone
Take product orders and prepare invoices, shipping documents and confirmations
Answer routine questions/ provide customer support
Issue customer return authorizations, prepare return shipping, process credits or refunds
Additional duties as assigned
Office Administration-
Administrative support to company executives
Organize meetings
Maintain cleanliness of office and break area
Inventory office supplies and maintain current stock
Filing and maintaining documents
Customer/vendor communications when needed
Additional duties as assigned
QUALIFICATIONS
3+ years’ experience in an office environment as part of an accounting team, or equivalent combination of education and experience. Highly professional with strong communication skills. Ability to communicate with management, strong customer service, experience in dealing with confidential material and problem-solving skills. Extremely self-motivated, proactive, and capable of prioritizing workload. Willingness to learn and help where needed.
Must be proficient in Word and Excel, payroll experience a plus.
This is a full-time position. Typical days and hours of work are Monday through Friday, 7:30 a.m. to 4 p.m
