POSITION: Front Office Coordinator
Full time non-exempt position: 40 hours/week
Pay Rate & Benefits: $15/hr. Benefits upon qualification; medical, dental, vision, Simple IRA with 3% company match, sick leave.
HOURS: Monday through Friday, 8:30 – 5:30
JOB SUMMARY:
This position requires a well-organized person who enjoys working directly with the parents in a fast-paced environment. The Front Office Coordinator is the first impression for families and donors, so professionalism, and a positive attitude is essential to represent the Boys & Girls Club culture and values. Reliable attendance on the job is critical in this position. Spanish language skills are a requirement for this positon.
POSITION RESPONSIBILTIES
Following BGCC’s documented procedures, help BGCC families understand program options, register for services, and handle general questions via email, phone and face-to-face.
Member/parent communication - Working with department directors, send out BGCC correspondence as requested through Activenet, or school newsletters.
Scholarship request process – support parents to complete scholarship forms, collect required proof of income, work with COO to process scholarships, communicate to families in a respectful and confidential manner. Maintain records of recipients.
Answer phones, filing, data entry, registration system maintenance
Manage BGCC’s online registration system - Activenet
o Setup, open, close, update programs; retire old programs
o Send out bulk emails to families for Managers & Staff
Assist with mail processing and bank deposits as needed
Manage facility use and rental calendar
o Track and manage a facility rental process with corresponding calendar
o Communicate to appropriate staff impacted from rental
Update staff contact information, phone lists, and overall staff communications
Train Gatekeepers, office assistants or interns as needed
Maintain cleanliness of lobby, front office, conference room, and staff break area – straightening all areas at the end of each day.
Keep all brochures, forms (applications, requests, etc.) and business cards current and stocked.
Review BGCC website at least monthly, send needed updates to COO immediately for action.

MINIMUM QUALIFICATIONS
Bilingual in English and Spanish
Must have a high school diploma or equivalent.
Must be able to deal tactfully, courteously, and effectively with Club members, staff, and the general public.
Working knowledge of MS Office products
Strong communication skills both written and verbal
Pass a background check
PREFERRED QUALIFICATIONS:
Prior office experience, or customer service experience
Current CPR/1st aid certification is a plus
