JOB TITLE: Medical Office Specialist

DEPARTMENT: Physician Clinics (Cardiology, OB/GYN, Internal Medicine, Psychiatry, and Behavioral Health, Audiology)

REPORTS TO: Physician Clinics Office Manager or Behavioral Health Manager (based on dept.)

JOB SUMMARY: The Medical Office Specialist is responsible for all clerical, secretarial, scheduling and registration functions of the Physician Clinic. The employee must be able to demonstrate the knowledge and skills necessary to provide care appropriate to the age of the patients served on his or her assigned unit. The individual must demonstrate knowledge of the principles of growth and development over the life span and possess the ability to assess data reflective of the patient’s status and interpret the appropriate information needed to identify each patient’s requirements relative to his or her age-specific needs, and to provide the care needed as described in the unit’s policies and procedures.

JOB REQUIREMENTS: Prefer High School Graduate with some college work in secretarial or clerical work

EXPERIENCE: Two years of secretarial, bookkeeping and receptionist experience preferred

SKILLS: Ability to relate well and work well with all types of people a necessity, along with well-developed written and verbal skills and interpersonal skills.

ESSENTIAL FUNCTIONS

  • Serves as receptionist, answering phone and receiving clients and visitors.
  • Secretarial duties for the Physician Clinic.
  • Manages physician appointment schedule by filling open slots based on provider guidelines.
  • Completes purchase orders, maintains inventory, and orders items from materiels management.
  • Files maintenance requests and insures items are repaired.
  • Closes Clinic Cash Drawer Daily
  • Reconciles Petty Cash Drawer
  • Does record search for insurance companies, doctors, and completes requests for information.
  • Completes point of contact scanning.
  • Appropriately registers prospective patients into the EMR.
  • Retrieves mail from mailbox and Administration. Distributes to appropriate staff.
  • Maintains hospital and Medical Record ID numbers and medical records on all patients.
  • Works effectively with office physicians daily, being flexible to maximize office efficiency.
  • Collects amounts due from patients at time of service according to WPH policy.

SECONDARY FUNCTIONS

  • Attends meetings as requested and takes notes.
  • Does duplicating of necessary materials/correspondence, etc.
  • Serves on committees as requested.
  • May be requested to perform other duties and responsibilities for which the individual is qualified.
