The Corporate Sponsorship Sales and Operations Coordinator is the key administrative support person for the Corporate Sponsorship sales team and plays a central and critical role for the functioning of the CS Operations group which includes the Associate Director of Corporate Sponsorship Operations and Media Strategy, the Activation Manager and the Traffic Manager.

This person will work directly under and receive operations training from the Activation Manager, Corporate Sponsorship.

Key job duties include :

Working on a variety of marketing and sponsorship activation tasks including : Reviewing and sending weekly email reminders to gather all pertinent TV, Radio, Digital, eNewsletter, Podcast and Events assets and materials in a timely manner.

Identifying missing copy by pulling Wide Orbit reports, support in copy building and confirming legal checks.Providing regular TV and Radio spot schedules via strata, upcoming spot times, custom post log reports, air checks, digital banner proofs.

Manage campaign pacing reports and Proof of Performance reporting as well as organizing and recommending make-good updates.

Providing Wide Orbit order entry requests.Finance invoicing support like aging reports, manual invoice edits and cc links.

Providing general administrative support for the Corporate Sponsorship team (CS).

Essential Functions :

Learn and support all of the radio underwriting credit approval process and local sales teams through editing, shepherding and placement.

Achieve 100% sign off from KQED radio underwriting group prior to underwriting credits airing on KQED radio. Ensure on air announcements meet FCC and KQED guidelines through use of research, legal department resources and editing of credits.

Time all radio copy to keep it within allotted time. Explain FCC and KQED guidelines as needed to Local Marketing Directors.

Learn how to build spot schedules in Strata, pulling inventory, checking avails, FM air checks, providing digital ad screenshots, radio on-air times and maintaining a radio copy archive to track legal precedents over time.

Draft client and sales communications for missing materials and deadlines, and act as liaison with various departments, including design, creative services, interactive, membership, radio, and TV operations (approval process and ingest) to understand all CS asset needs.

Sales Team support tasks also include book, track, manage make-goods, reconcile against order, manage creative and report out on progress of all TRADE accounts.

Works with the radio production department and KQED’s Local Marketing Directors to ensure corporate underwriting for The California Report is trafficked appropriately and airs according to negotiated contracts.

Provide regular reports including post-campaign reports, monthly FCC, and daily spot time reports as requested.

Support Traffic Manager and Finance teams with log reconciliation, traffic, order processing, custom invoice orders, aging reports, credit card links and appending delivered spots to invoices as requested

Assists and provides support on Corporate Sponsorship events and virtual events as needed.

Orders and manages client gifts as directed by the Executive Director, Corporate Sponsorship and orders supplies for the department.

Performs other essential duties as required.

Knowledge / Experience Required :

A minimum of one year of experience in a busy office and or virtual environment working with a variety of individuals.

Ability to communicate diplomatically and cooperatively when responding to KQED clients and staff, and build rapport with colleagues.

Ability to compose effective correspondence, reports and other communications.

Must be a very organized, detail-oriented person who can learn quickly, work independently and meet deadlines while juggling multiple tasks.

Reports issues to appropriate groups to expedite and ensure resolution in a timely manner. Utilizes tools and their understanding of web / device technologies to find detailed information that can help recreate and / or solve the issue.

Must have excellent skills in a wide range of computer programs including the Microsoft Office Suite (Excel, Word, Powerpoint), and Google suite (Sheets, Doc, Slides).

Knowledge / Experience Desired

Work experience in Public Media or Radio / TV media sales support greatly preferred.

Working knowledge and experience with Wide Orbit, Google Ad Manager, Megaphone, Salesforce and Salesforce Marketing Cloud experience preferred.

College degree preferred.
