DescriptionThe Program Coordinator for the Office of Academic Advancement (OAA) will exhibit a commitment to supporting faculty development in teaching, scholarship, and service. As a member of the OAA, the Program Coordinator will cultivate and champion an innovative, diverse, inclusive, and equitable culture that prioritizes excellence, diversity and faculty engagement to strengthen the School of Nursing’s Mission.JOB DESCRIPTION:The Program Coordinator is a dynamic, highly motivated individual who is detail-oriented and thrives in a fast-paced organization. This professional is extremely organized and provides essential administrative and project management support to the OAA.The Program Coordinator is responsible for organizing, developing, and implementing programmatic aspects of the OAA, including facilitation of faculty data record keeping and materials, dossier preparation and formatting, preparation of correspondence, reports, presentations and other communication documents, and facilitating record keeping of faculty and committee groups/task forces.Fifty percent of the position's duties will be providing support to the Senior Associate Dean for Academic Advancement (SADAA) through development of reports, correspondence, communications and presentations from the OAA office as well as daily administrative support, and will report directly to the Sr. Program Coordinator.This position will require an advanced skill set in project management, communications, calendar management, and expense management to support optimal operations for the OAA.Typical duties:

Supports regular OAA processes such as faculty travel and vacation requests, annual review documentation, faculty awards, teaching assignments.

Performs daily administrative duties as needed, including scheduling and travel appointments, planning and preparing materials for meetings and special events, reconciles expenses, supports manuscript and grant activities (biosketches, CVs, references)

Receives visitors at front desk by greeting, welcoming, directing and announcing them appropriately

Works in collaboration with Front Office Dean’s Suite Staff in management and support of Office environment, including: reception area is tidy and presentable, with all necessary stationery and material (e.g. pens, forms and brochures), copy room and dean’s conference room is stocked with necessary supplies.

Develops reports, presentations, and communications for OAA events and activities.

Supports Faculty hiring, onboarding, and promotion processes through coordinating faculty candidate visits, facilitating the preparation of faculty dossiers, and additional committee and OAA process support.

Assists in planning and execution of special projects and events managed by the OAA such as conferences, events, or meetings.

Takes initiative to troubleshoot and resolves issues and concerns on behalf of the OAA.

May supervise work-study or other volunteers/assistants as assigned to projects.

Able to work evenings/weekends and attend meetings as needed.

Performs all other duties as assigned.

MINIMUM QUALIFICATIONS:

Bachelor's degree in a field related to the program

AND

Two years of related experience, or an equivalent combination of education, training and experience.

PREFERRED QUALIFICATIONS:

Bachelor’s degree in Business Administration, Communications or a related discipline.

Two or more years of research experience.

Outstanding problem-solving skills, with demonstrated ability to manage multiple projects and deadlines simultaneously.

Strong Knowledge of Microsoft Office Suite (Word, Excel, and PowerPoint), Endnote or other bibliographic databases.

Excellent written, verbal communication, analytic, presentation, and organizational skills.

Demonstrated ability to work effectively in deadline-driven environment required.

Must be able to manage multiple and shifting priorities and interact with diverse constituencies including executives, staff, students, and external stakeholders.

Must be self-directed, possess ability to use high degree of judgment, work independently with minimum supervision, and handle complex and confidential information with discretion.

Must possess desire and willingness to assume increasing responsibilities.
