GENERAL SUMMARY

The Administrative Associate (AA) provides administrative support to Insurance Agency owners, department head and their respective teams. In addition, the AA provides ongoing support for department functions, our office, and other department staff. The AA position makes some independent decisions within the scope of responsibility and has some company-wide formal and informal influence. As a result, the AA must demonstrate quality outcomes and be above censure (i.e., reliability, sincerity, discretion, prudence, honesty).

ESSENTIAL JOB FUNCTIONS

Database and Systems Management

- Application follow up and inputs data into an electronic database.

- Updating client status and policy information into an electronic database.

- Assist with answering incoming calls and transferring to appropriate department employees or department heads.

Supply Management

- Maintains adequate inventory of carrier enrollment kits, marketing collateral, and department support supplies.

Administrative Functions

- General administrative support assignments may include all forms of administrative work including word processing, data entry, report writing, photocopying, compiling data, managing mailings and other administrative assistance as needed.

- Performs office service operations and procedures, including filing systems and reviewing invoices.

- Creates and enters data into Excel spreadsheets as requested.

- May lead or participate in organizational teams.

- Maintain database and filing of license, contract and compliance reports and their terms and notify leadership as appropriate for deadlines.

- Special projects as determined for administration of supported departments

Supervision

- This position has no supervisory responsibilities.

Other Responsibilities

- Follows other instructions/directions and will perform other related duties as required by the needs of the management team.

- Participate in compliance, quality assurance, and performance improvement programs and initiatives.

- Complies with applicable laws, regulations, and our policies and procedures.

KNOWLEDGE, SKILLS, ABILITIES

- Strong customer service skills, with both internal and external customers.

- Experience in database management and highly efficient at data entry.

- Multi-tasking, i.e., ability to function and complete work with competing priorities, competing expectations and frequent interruptions.

- Personal and interpersonal skills, i.e., clear speaking, diplomatic, considerate, sensitive, collaborative, and well-groomed.

- Practical writing skills, excellent verbal skills, including the ability to prepare with minimal supervision correspondence and simple reports.

- Proficient on personal computers and advanced skills in Microsoft Products - Outlook, Word, Excel and other comparable software programs.

- Ability to operate specialized office equipment, i.e., audio-visual equipment, main phone line, etc.

- Must be able to work in a rapid paced and energetic office environment.

- High level of reliability regarding attendance and punctuality.

PHYSICAL DEMANDS

Physical Activities/Requirements

- The individual must have the ability to speak clearly using the English language to accurately convey information and be able to hear at normal speaking levels both in person and over the phone.

- This position requires the manual dexterity necessary to use appropriate office equipment.

- Position functions require sitting and standing, use of keyboard, telephone (wireless connectivity) and specialized office equipment.

- Specific vision abilities required by this position include close vision, depth perception and the ability to adjust focus.

- Requires the ability to arrive and depart from work and work-related functions at expected times.

- The employee is required to lift up to 15 pounds with or without assistance.

ANTICIPATED WEEKLY TIME COMMITMENT

- This position operates under regular business hours, Monday – Friday, 8am – 5pm.

EDUCATION, EXPERIENCE & JOB REQUIREMENTS

- A minimum of 1-year experience in an office environment.

- Requires a valid driver’s license and access to an insured automobile or the ability to arrive and depart from work and any work-related functions at expected times.

- Prefer some experience in the health insurance, health care or financial services industry(s).

- Must be able to pass personal and financial background checks.
