ResponsibilitiesProvide full patient support services for afaculty member in the Department of Ophthalmology, Division of RetinalDisorders and Ophthalmic Genetics. Primary duties are answering telephones,scheduling patients for clinical appointments, for surgery or other procedures,and coordinate and schedule all associated appointments and paperwork. Thisincludes obtaining pre-authorizations, completing all necessary forms,following up on missing information needed for appointments or surgery,maintaining a maximized surgical schedule, communicating frequently withoperating room staff for all scheduling matters, i.e. has all requiredinformation and have all forms arrived and are they filled out satisfactorily. Additionally, responsibilities includemaintaining supply of forms for various clinical and surgical procedures, andpreparing charts for patients, including all required paperwork such aspre-authorizations, referral letters, etc. Furthermore, responsibilitiesinclude scheduling of initial and follow up office visits, checking patientsin/out, encountering patients, managing flow of patients in the clinic,collecting payments, filing, and dictation processing, i.e. sending totranscriptionist, then sending, including all carbon copies to intendedrecipients, and filing copies in chart. General office support and physician support activities not listed maybe required at times, including supporting the other division members practice.QualificationsOur top candidate will have an understanding of basic ophthalmic terminology and be familiar with signs and symptoms of various ophthalmic problems to answer patient questions and know when urgent evaluation is indicated. They will be familiar with word processing, spreadsheet, email, and web browser programs, and have the interpersonal skills to maintain cooperative working relation- ships with physicians, staff, co-workers, patients, and others.We seek someone with knowledge of IRB documentation, and has the following abilities and skills.Ability to:

handle heavy telephone traffic and assist callers with their needs or refer them appropriately

schedule surgery, related tests, and postoperative appointments, keeping everybody informed of changes

schedule, check in/out, and encounter patients in the appointment registration system

set and follow through on priorities and complete work in a timely manner when there are changes in work- load, pressures, and deadlines

stay organized in an expanding and changing office

write concisely and clearly

Skilled in:

recognizing and managing emergency situations

speaking clearly and distinctly both in person and on the telephone to communicate to physicians, patients, staff, and others

using a typewriter and word processor

working independently and following through on assignments with minimal direction and in a timely manner
