Location: Manchester, NH

Hours: 15-20 hours per week

Pay rate: $16 per hour

Overview:

The Administrative Assistant is considered as a gift to our church. In this role, you will need to know, understand, and support the vision of the church. You must be spiritually mature and walk in integrity and honesty. The Bible says, "The integrity of the upright will guide them" (Prov. 11:3, NKJV). The Lord will guide the administrator who walks in integrity and honesty. In this role, you must approach this position as a ministry to the Lord while working efficiently to help the church organization in accomplishing its mission in the 21st century.

The Administrative Assistant will work under supervision of the Pastor and work closely with our leadership, bookkeeper, and ministry teams. In this position you will be primarily responsible for facilitating the flow of information and communication between the public and the church Pastor, while keeping the daily functions of the church office running efficiently, and actively managing the resources needed for the ministries of the church to be effective.

While carrying out your duties in the office, you will become privy to Pastoral matters that must be kept strictly confidential. This confidentiality between the Pastor and the Administrative Assistant is of primary importance to safeguard any sensitive information concerning members of the congregation, and to maintain the testimony and integrity of the church.

Primary responsibilities include effective operation of the church office and facility while maintaining our church management database, master calendar, fiscal management, and fund requests. You will be responsible for coordination of electronic and print communications, including production of correspondence, print and digital materials and dispersing information for web and social media updates.

Our ideal candidate is detail-oriented and will have excellent time management, communication, and organizational skills. He or she will demonstrate flexibility with strong cooperative and positive interpersonal skills, showing proactive initiative and the ability to maintain confidentiality.

Must be a believer and follower of Christ while representing not only Southside Bible Fellowship (SBF), but Jesus Christ while demonstrating a real love and concern for all people.

Must have excellent proofreading skills and attention to detail

Must show initiative and be proactive while learning new skills and competencies

Must be able to exercise good judgment and to problem-solve as necessary

Must exercise tact, courtesy, confidentiality, professionalism, and diplomacy in-person or by telephone, as well as having excellent written communication skills.

Must have general knowledge of all office equipment and supplies

Duties and Responsibilities:

Work closely with church leadership & ministry teams to carry out the goals and vision of SBF

Keep the Pastor informed of urgent needs that arise such as deaths, illnesses, and other crises

Work within guidelines, policies, procedures, and the budget of the church

Coordinate and develop communications within the church and to community

Work with the public, staff, and church members

Answer the phone and screen calls for the Pastor per his direction.

Keep a calendar of appointments

Promote upcoming Sunday’s message on social media to elicit engagement

Manage post sermon video promotion on Mondays following message

Prepare and/or distribute updates and information for web and social media communications

Welcome and assist all persons visiting the office

Receive, store, and/or distribute mail and packages

Maintain church bulletin boards, and other informational areas

Prepare and mail items as needed

Mail bulletins and/or CDs to shut-ins

Prepare weekly bulletins and other documents as requested

Prepare and distribute a monthly prayer list

Maintain and update SBF website as needed

Send out welcome letters to visitors and maintain visitors’ list

Prepare and mail letters to new members

Keep Church database updated

Prepare and update outreach files

Maintain church ministry structure within the church database

Update office resources and order supplies as needed

File sermons, reports, correspondence, and other assigned materials

Photocopy documents and assemble as needed

Prepare routine letters and documents as needed/requested

Keep accurate church records, (e.g. church members, visitors, calendar, etc.), working in cooperation with Pastor, bookkeeper, leadership, and ministry teams

Manage Sunday School attendance records and prepare attendance sheets for each week

Scheduling and following church policy regarding building usage and key checkout

Pass on any benevolence requests to the Deacon Team

Maintain office supplies and postage

Facilitate maintenance of office equipment

Prepare scheduled lists of those serving each week and distribute accordingly via email

Maintain Visitor’s Packets

Be proactive to help ministry leaders promote, implement, and communicate

Perform other duties as assigned by the Pastor.

Qualifications/Experience:

High school diploma. College preferred

At least 2 years of experience as an administrative assistant preferred

Excellent written and verbal communication skills

Strong organizational and planning skills

Knowledge of office management systems and procedures

Excellent time management skills and ability to multi-task and prioritize

Microsoft Office, including Word, Excel, PowerPoint

Ability to use and navigate online resources

Working knowledge of social media
