Summary of Position
Perform routine clerical and administrative functions such as drafting correspondence, scheduling appointments and reminders, organizing and maintaining paper and electronic files, providing information to callers/visitors, clients, co-workers and partners, maintaining professional office appearance, ordering and re-stocking office supplies, and running errands for the office.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
- Answer telephones and greet visitors. Handle inquiries by providing information or directing them to the appropriate individuals according to their needs. If necessary, take messages or transfer calls to appropriate individuals.
- Use computers for various applications, such as database management, word processing and processing of tax returns.
- Create, maintain, and enter information into databases, as directed.
- Maintaining documents, such as client files, tax returns, correspondence, or other material.
- Operate office equipment, such as fax machines, copiers, or phone systems and arrange for repairs when equipment malfunctions.
- Maintain scheduling and event calendars.
- Schedule and confirm appointments for clients, co-workers, or partners.
- Make copies, file, scan or shred, if appropriate, correspondence or other printed material.
- Maintain professional office functionality and appearance by cleaning, organizing and stocking supplies.
- Prepare company mailings and run errands, as directed.

Education and/or Experience
High school diploma or general education degree (GED); and 0 – 6 months related experience and/or training required.
Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence, including drafting and typing client letters, according to industry standards. Ability to effectively present information in one-on-one and small group situations to clients, co-workers and partners.
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
To perform this job successfully, an individual should have working knowledge of Appointment scheduling, Word processing, Spreadsheet, Database and Tax/Accounting software.

Due to the nature of the business, the employee may be required to work overtime hours, especially during peak season (Mid-February - Mid-April). Employee will be compensated for the additional time at their normal hourly rate plus half.
