Office Professional Part-Time (15 hours per week) – (Omaha, NE)

We are seeking a proactive, results-oriented individual to handle essential administrative duties, allowing our Sales Professionals to focus on providing excellent customer service. We desire an organized, detail-oriented candidate who can navigate daily challenges while fulfilling key responsibilities. Qualified candidates should possess excellent communication skills and a passion for customer service.

Located in our Omaha, NE office, this part-time position requires 15 hours per week and pays $15 per hour. Our business hours are Monday through Friday 7:30 a.m. – 4:30 p.m. We are looking for someone who is available to start immediately.

RESPONSIBILITIES

Inventory Control

Open received UPS daily shipments from factories; record receipt into order tracking system, place in Sales Professional’s designated inventory area

Ship returns and remakes to factories; ship select garments directly to clients

Organize, maintain and track Sales Professionals’ clothing inventory

Maintain and update cloth samples

Conduct tie inventories twice a year

Administration

Assist/troubleshoot Sales Professionals with new order entries, reorders, remakes, and customer payments

Print order summaries; obtain Sales Professional signoff; make necessary changes

Match deposit summary with orders after nightly batch runs

Follow up on ‘Denied Credit Card’ Reports with Sales Professionals daily

Print ‘Orders Not Uploaded’ Report for Sales Professionals

Enter alteration instructions on secured site; measure garments (‘before’) prior to alterations

Payroll: Collect in-house tailor timecards and alteration tickets for bi-weekly payroll; compile Alteration Expense Summary to accompany timecards and send to Home Office Payroll

Banking: Prepare bank deposit slips; take to bank (at least three times a week); send matching deposit slip and deposit summary to Home Office Accounting

Accounts Payable: Collect outside tailor invoices, review for accuracy, send to Accounts Payable

Maintain filing

Follow clients using LinkedIn, social media and internet

General

Reception: Greet and assist clients/visitors; answer incoming phone calls, route to appropriate parties and/or take detailed messages

Email: Check store email daily; forward to the proper person(s); update office via email regarding office maintenance, notices from head office, factories, etc.

Mail: open and process incoming mail; stamp and drop off outgoing mail

Fax: Copy and distribute faxes pertaining to all Sales Professionals

Office Supplies: purchase supplies, equipment; maintain proper inventory levels

Building: Coordinate routine maintenance, work orders and key card access with facility management; meet with the building management and fire safety supervisor on an as-needed basis; maintain and upkeep all office common areas (including state and federally mandated posters)

Miscellaneous

Pick up and deliver client items as needed

Deliver garments to dry cleaners, outside tailors and clients as needed

Prepare bank deposit slips and deliver to bank several times a week

Perform other errands as assigned

Assist Marketing Department with Semi-Annual Trunk Shows

REQUIRED KNOWLEDGE, SKILLS & ABILITIES

Proficient in Microsoft Office, Google Docs

Multi-task and effectively prioritize tasks to consistently meet deadlines

Detail-oriented, organized, team-minded

Discreetly handle confidential, highly sensitive information

Excellent communication skills

Bend and lift up to 20 lbs.

Possess a registered, insured vehicle

Maintain a clean driving record

WORK EXPERIENCE / EDUCATION REQUIREMENTS

Requires knowledge, skill and mental development equivalent to the completion of High School and 2 years of office experience.

Hours: 15 hours per week

Rate of Pay: $15 per hour
