Salary Range: Depending on Experience, $3,700.67 to $4,059.47 per month

As the Operations Manager, you will directly support the office management of TPN’s Administrative Office. You will deliver culturally-responsive, people-centered, and trauma-informed support when providing complex and routine administrative and operational projects agency-wide. You will support the Executive Director in the execution and management of special projects. In addition, as the agency Operations lead, you will manage, maintain, and improve upon internal systems including overall office management, agency-wide information technology (IT), database maintenance, internal operations projects, and any ad-hoc operational needs. The Operations Manager is an important part of creating a welcoming and positive working culture and office environment, prioritizing relationships and connection. As the Operations Manager, you will also provide back-up operational support to Parenting Inside Out curriculum sales. In addition, you will provide confidential administrative support for the Human Resources and Finance departments as requested. Core competencies will include: organizational skills; teamwork orientation; communication proficiency; technical capacity; and business acumen.
Job Responsibilities
In this role you will:
Perform office management for the administrative offices.
Manage a wide range of administrative support and operational related tasks independently with little to no supervision. Coordinate and project manage multiple assignments that may involve staff from various departments.
Act as the administrative liaison by coordinating with internal and external partners.
Work collaboratively with Administrative Support Specialist to carry out clerical and other routine administrative tasks.
Be responsible for cell phone management, computer equipment and inventory maintenance.
Process confidential documents and materials.
Manage the administration of TPN’s internal subpoena process.
Organize and maintain office operations and procedures.
Serve as the point-of-contact for maintenance, mailing, shopping, supplies and equipment.
Monitor, manage and improve the efficiency of support services, including IT, file management and data management.
Supervise the maintenance and alteration of office areas, as well as layout, arrangement and housekeeping of office facilities.
Responsible for meeting scheduling and coordination.
Be responsible for process and policy implementation in support of TPN’s organizational goals.
Manage a range of projects encompassing strategy implementation, process improvement, systems implementation and organization changes.
Act as project and program support when needed.
Provide project management support to the Executive Director and Executive Team.
Work with other members of the Executive Team to ensure successful communication and coordination agency wide.
Work alongside Accountant and Director of Finance to initiate and implement new vendor relationships when needed.
Act as a backup and provide confidential support for Finance and Human Resources functions.
Oversee the maintenance of organization's IT and phone system by liaising with external contractors and providing the necessary training and/or support to staff.
Coordinate the creation of new employee network accounts through working with external IT contractor.
Support in the creation of curriculum manuals, program materials and kits for other agency programs and order materials needed.
Manage and maintain inventory of curriculum manuals and materials across the agency.
Assist in developing and producing training props for curriculum
Act as backup on fulfillment of curriculum manuals for internal and external clients utilizing Financial Edge.
Act as backup on technical assistance with curriculum sales customer service training.
Serve as backup in creating, maintaining and editing program documents.
Lead and partner with others to plan and carry out agency events.
Provide support to Administrative and Operational support to the Executive Director.
Other duties as assigned.

This job operates within an office and community service delivery setting. This is largely a sedentary role and this role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to use hands to finger, handle or feel; and reach with hands and arms.
This is a full-time, exempt position. Typical days of work are Monday through Friday; however, evening and weekend work is required as needed.
Travel may be required between TPN work locations across the State of Oregon, which may require an overnight stay.

Requirements
Qualifications
Any combination of experience and training that would likely provide the required knowledge and abilities is qualifying. A typical way to obtain the knowledge and abilities would be:
Equivalent to an Associate’s Degree in a related field
Two or more years of related experience working in progressive administrative roles
Experience working with diverse populations
Intermediate level computer capabilities in use of data bases, web-based environments, word processing, email, and spreadsheets
Must pass a criminal history background check (a criminal record is not automatically disqualifying), employment verification, and drug screen (which does not include testing for marijuana).
Valued Education and Experience
Equivalent to a Bachelor’s degree in a related field
Three or more years of related experience
Experience in a corrections, criminal justice, or nonprofit settings
