  • JOB SUMMARY

    Working under the direction of the ECD Director and clinical supervisor, the department secretary is the key person in establishing a first impression and conveying the CCMH mission and vision of providing the best possible customer service. Performs all duties required to support and coordinate functions efficiently to meet and/or exceed customer expectations. Responsible for compiling and maintaining the patient’s medical record, coordinating patient’s tests and procedures with multiple internal and external sources, and preparing statistical reports. Maintains par level of patient and departmental supplies, and is an instrumental resource of patient information to physicians and nursing staff.

  • PRIMARY JOB DUTIES

    • Monitors electronic patient dashboard, ensuring all orders are crossing to Meditech.

    • Functions as a central communication source for the department, ancillary departments, patients, patients’ family physician, and external sources.

    • Maintains ability to enter orders into Meditech.

    • Demonstrates efficient time management and prioritization skills

    • During downtime: transcribes and processes physician orders.

    • Assists with completion of admission and discharge process, and maintenance of record for duration of stay.

    • Enters orders in computer when appropriate and obtains results for staff and physicians.

    • Encourages cost savings for the department and organization.

    • Provides excellent customer service, demonstrates professionalism and courteous telephone etiquette.

    • Demonstrates flexibility, positive interpersonal relations in high volume, high traffic, and fast paced work environment.

    • Complies with the hospital’s Corporate Compliance Program including, but not limited to, the Code of Conduct, laws and regulations, and hospital policies and procedures.

    • Must be free from governmental sanctions involving health care and/or financial practices.

    • Performs other duties as assigned.

  • JOB SPECIFICATIONS

    • Education: High school graduate or GED; computer skills.

    • Certifications required: See Cardiopulmonary Resuscitation Certification Policy and Certifications/Education Requirements Policy.

    • Experience: Previous clerical or unit secretary experience preferred.

    • Essential Technical/Motor Skills: Hand/eye coordination, legible handwriting, computer skills, able to speak clearly, fine and gross dexterity.

    • Interpersonal Skills: Must relate well with patients, families, hospital staff, physicians, and public.

    • Essential Physical Requirements: Ability to lift and/or maneuver objects weighing 40 pounds or less. Requires shift work.

    • Essential Mental Abilities: Able to comprehend technical medical terminology. Able to obtain patient information in computer. Able to think quickly, handle various projects simultaneously with ability to memorize routine assignments, computer mnemonics, all with little or no supervision.

    • Essential Sensory Requirements: Corrected vision, hearing to normal range.

    • Exposure to Hazards: OSHA CATEGORY II. Tasks that involve a potential exposure to blood, body fluids or tissues. Identified job duties do not include a reasonable anticipation for the potential contact with blood or contaminated body fluid but circumstances may occur which may result in the potential for exposure. Use of appropriate protective measures is required for employee (s) engaged in potential exposure situations.

    • Hours of Work: May require shift work and rotating shifts including weekends and holidays. Call may be required. May be required to work 4-8-10 or 12 hours shifts. May require working under stressful situations
