The Receptionist is primarily responsible for fielding incoming phone calls from business contacts and clients in a professional and timely manner. A quantity of calls and walk-ins received involve clients in crisis; such clients pertain to a variety of needs. The receptionist must have the ability to respond to incoming clients in a helpful and compassionate manner, often in the face of insufficient resources to meet clients’ needs.

A key role for this position is creating databases, managing incoming donations, creating meeting schedules, and handles additional administrative duties, as outlined below.Essential Duties and Responsibilities:

Include the following. Other duties may be assigned.

Fields phone calls and takes messages, as needed; answers any questions from callers.

Responds to requests for information, using both email and the office phone system.

Prioritizes phone calls and information based on acuity.

Welcomes and directs visitors at the Shores of Hope office.

Establishes and maintains electronic filing system and contact databases.

Maintains office filing system.

Performs data entry and document scanning.

Coordinates with Programs & Operations Manager on office technology needs and repairs; arranges supply orders and maintenance, as needed.

Provides coordination and communication support to the Shores of Hope staff.

Receives, organizes and delivers office mail.

Schedules meetings and appointments, as directed by the Programs & Operations Manager.

Attends meetings and provides assistance, as needed.

Performs desktop publishing, including the creation of visual presentations, as needed.

Organizes and maintains the office supplies.

Monitors supply and equipment conditions; disposes of equipment and supplies, as appropriate.

Sends Case Managers referrals for potential or current clients in a timely and consistent manner.

Conducts research on service providers, as needed.

Other work, as assigned by the Program & Operations Manager or requested by a member of the supervisory staff.

Helps create and maintain office manuals and directional one-sheets for staff.

Ability to work effectively with others and independently.

Ability to respond to difficult situations in a calm and professional manner.

Maintains a professional appearance.

Regular, predictable attendance is required.

Other duties as assigned.
