Full-time office manager for residential general contractor and real estate broker. M-F, 8-5. Experience with Excel, Word, QuickBooks, Microsoft Project, Adobe, DotLoop preferred. Pay based upon experience. Duties to include the following:
Construction:
- Daily sorting of receipts and mail
- Organize bills to be paid, submit for approval
- Enter hourly employee time for payroll
- Schedule meetings, maintain calendar
- Get allowance selections from clients, organize into cut sheet
- Get quotes from subs/suppliers, submit for review
- Draft work orders and purchase orders, submit for review
- Create project binders and organize job folders
- Update project schedules
- Draft estimates, submit for review
- Draft invoices, submit for review, follow up on status of payment
- Obtain permits, submit applications and all necessary documents
- Draft Facebook marketing ads
- Update website as projects are completed
- Get copies of certificates of insurance, verify coverage
Real Estate:
- Hold open houses and do showings for listings
- Assist in brokerage compliance and record keeping
- Create ads for rental properties
- Show rental properties, obtain applications
- Collect rent
- Send notices for non-payment
- Submit for evictions
- Draft ads for marketing property management, listings, rentals
- Create walk-through videos/posts for social media platforms
