Job description:

This position is Monday-Friday. 8:00 a.m. to 4:30 p.m. 2 years of office experience/administrative work is required. Real estate office experience is a plus! Responsible for making a great first impression with our clients/visitors. Promptly and professionally answers the phone, screens and routes calls, relays messages, schedules appointments and greets all visitors in person. This position is an essential hub for our office staff, project managers, clients and vendors. You must be able to multitask, take notes and learn quickly.

Job duties include but are not limited to:

Answers all telephone calls promptly and professionally and forwards calls to appropriate personnel.

Keeps a daily calendar of all office appointments/meetings

Keeps the front office organized and presentable.

Prepares meeting rooms/conference rooms for client meetings.

Run necessary errands, ex. to post office, town or city hall with company vehicle

Assists administrative staff in office work: sorting mail, addressing envelopes, filing, labeling and copying.

Assistance in QuickBooks invoice entering and paying

Direct assistant to Office Manager, including payroll, preparing subcontractor documentation and checks

Assists Transaction Coordinator with real estate paperwork and documentation, including copying and filing.

Light cleaning and organizing of the office

Organizing and ordering office supplies.

Client communication as liaison between clients/vendors

Keep a spreadsheet of jobsite updates, track/organize client finish selections from vendors

Set up site inspections with local municipalities, prepare and submit permit applications, order

dumpsters/porta-pottys for jobsites

Keep records on company vehicle registration/insurance and schedule/coordinate vehicle service as needed

Assist project managers

Assist in business for Chase-owned car washes and other business entities

Job Requirements:

Must be comfortable with: Microsoft Outlook - calendar features, Microsoft Office Suite, including Excel, SharePoint and QuickBooks knowledge is a must!
