The Transaction Coordinator position is a crucial component to the success of our office and team. The Transaction Coordinator is responsible for the accurate handling of all administrative steps in processing a real estate transaction from offer to closing.

Qualifications

- 4+ years of administrative experience (required)

- Previous management experience (preferred not required)

- 3+ years Previous Real Estate, title or lending experience (high advantage)

- Real estate license (or can be obtained)

Principal Duties and Accountabilities

- Full time 745-5, or after hours to complete the job, including every other 3rd weekend.

- Opens escrow when an offer is accepted

- Communicates updates to clients, agents, lenders, title, and others involved in the transaction

- Coordinate communication and contract details between parties (agents, lenders, escrow, etc.)

- Complete, and/or review transaction documents/paperwork/forms for completeness, accuracy and adherence to brokerage office(s) compliance.

- Perform data entry tasks and communications between parties.

- Maintain/manage active files (extensions, addendums, etc.) to ensure all information is entered and reports and disclosures are forwarded in a timely manner. Keep appropriate parties of the transaction informed on the progress of the files.

- Provide and/or coordinate accurate and timely communication with external contacts such as homeowners, closing agents, staff from other real estate brokerages, service personnel and vendors.

- Set up transaction files and work to deposit earnest money within contract timelines.

- Coordinate the transaction details and see that Customer Satisfaction is Top Priority.

- Coordinate transactions to closure.

- Communicates updates to clients, agents, lenders, title, and others involved in the transaction

- Monitors deadlines and contingency periods

- Ensures all required documentation is submitted

- Ensures all documentation requiring signatures and/or initials are signed/initialed

- Creates commission disbursement forms

- Verifies commission checks match disbursement authorization forms and places them in agents’ mailboxes

- Sends copies of documents to entitled parties

- Maintains contact information for all parties involved in the transaction

- Submits documentation to brokerage

- Utilizes transaction management software

- Stays highly organized to ensure accuracy

- Must maintain strict confidentiality related to all documents, agent, client, and staff data, as well as all other sensitive or classified information obtained through the course of employment.
