  • JOB SUMMARY

    The department secretary is the key person in establishing a first impression with our customers (patients, families, physicians, clinic staff, other hospital departments and staff and all external customers.) Performs all duties required to support and coordinate functions efficiently to meet and/or exceed customer expectations. Working under the supervision of the Nurse Manager, Clinical Supervisor and Office Coordinator, assist with billing, perform clerical duties, and maintain par level of patient and departmental supplies.

  • PRIMARY JOB DUTIES

    • Tracks in-going/out-going communications, including but not limited to, orders, face to face documentation, and plans of care to providers.

    • Assist clients in need of LifeLine services by providing information and setting up appointments for installations, and maintains data base of clients utilizing the LL program.

    • Assists with completion of admission and discharge process, scanning/filing of records, and maintains proper levels of admission packets and other documentation needed for patient care.

    • Encourages cost savings for the department and organization.

    • Provides excellent customer service, demonstrates professionalism and courteous telephone etiquette.

    • Demonstrates flexibility, positive interpersonal relations when dealing with patients, families, and internal and external customers.

    • Participates in committees and PI teams in conjunction with strategic plan

    • Obtains supply needs from staff for Hospice House, in-home services, and office and submits needs to Material Management or appropriate vendor.

    • Complies with the hospital’s Corporate Compliance Program including, but not limited to, the Code of Conduct, laws and regulations, and hospital policies and procedures.

    • Must be free from governmental sanctions involving health care and/or financial practices.

    • Performs other duties as assigned.

  • JOB SPECIFICATIONS

    • Education: High school graduate or GED; computer skills.

    • Licensure: None.

    • Must have current American Heart Association Heartsaver AED or American Red Cross Community CPR within 60 days of employment.

    • Experience: Previous clerical or medical secretary experience preferred.

    • Essential Technical/Motor Skills: Hand/eye coordination, legible handwriting, computer skills, able to speak clearly, fine and gross dexterity.

    • Interpersonal Skills: Must relate well with patients, families, hospital staff, physicians, and public.

    • Essential Physical Requirements: Sitting for long periods of time. Requires lifting and carrying of supplies, typing, speaking coherently on the telephone.

    • Essential Mental Abilities: Able to input orders, obtain patient information in computer. Able to think quickly, handle various projects simultaneously with attention to accuracy, prioritization, patient request, detail, memory, problem solving, reasoning, ability to memorize routine assignments, computer mnemonics, all with little or no supervision.

    • Essential Sensory Requirements: Corrected vision, hearing to normal range.

    • Exposure to Hazards: OSHA CATEGORY II TASKS THAT INVOLVE EXPOSURE TO BLOOD, BODY FLUIDS, OR TISSUES. All procedures or other job-related tasks that involve an inherent potential for mucous membrane or skin contact with blood, body fluids, or tissues, or potential for spills or splashes of them, are Category II Tasks. Use of appropriate protective measures is required for every employee engaged in Category II Tasks.

    • Completes annual mandatory education

    • Hours of Work: 8- or 10-hour shifts, or otherwise as dictated by needs of the department. May include both day and evening hours
