Executive Assistant to CEO (Part-Time)
Overview:
We are seeking a highly organized and detail-oriented Executive Assistant to support our CEO in various administrative and operational tasks. The successful candidate will be responsible for providing exceptional support to our CEO, while maintaining the highest level of professionalism and discretion. Responsibilities:
Manage the CEO's calendar, ensuring timely and efficient scheduling of meetings, appointments, and events
Provide exceptional customer service, handling all incoming calls and emails with a high level of professionalism and phone etiquette
Prepare and distribute important documents and reports using DocuSign, ensuring confidentiality and accuracy
Perform various administrative tasks, including data entry, typing, and filing, using software such as QuickBooks and Microsoft Office
Maintain a clean and organized office space, including the CEO's office and any other designated areas
Provide support to other departments, as needed, including but not limited to, human resources, finance, and marketing
Develop and implement effective administrative processes and procedures, ensuring efficiency and productivity
Collaborate with other members of the management team to achieve organizational goals and objectives
Maintain the CEO's confidential and sensitive information, ensuring discretion and professionalism at all times
Qualifications:
2+ years of experience as an Executive Assistant to a CEO or other high-level executive
Strong computer literacy and proficiency in Microsoft Office, including Word, Excel, and PowerPoint
Experience with scheduling software and calendar management
Excellent customer service and phone etiquette skills
Ability to work in a fast-paced environment and prioritize tasks effectively
Strong organizational skills, with the ability to maintain confidentiality and discretion
Proficiency in typing and data entry
Knowledge of QuickBooks and other accounting software
Familiarity with DocuSign or similar electronic signature software
Clerical experience and an understanding of office operations
High school diploma or equivalent required; bachelor's degree preferred
Certification in executive administration or a related field is a plus
