We are seeking a Legal Administrative Assistant Support who will be responsible for providing high-level administrative. The Legal Administrative Assistant must be capable of working in a fast-paced, dynamic environment with time-sensitive materials, maintain strict confidentiality at all times and use discretion and diplomacy in the performance of daily activities.

Job Responsibilities:
  • Provide administrative support for a team of 16 (13 Attorneys, one Manager and two Paralegals)
  • Manage calendars by scheduling meetings, appointments, travel and business-related activities involving multiple time zones.
  • Prepare, manage, gather, organize and maintain correspondence, legal documents and files physically in paper or electronically within/from the appropriate storage locations
  • Edit legal documents and presentations using Microsoft Word, PowerPoint and document comparison software as requested by the members.
  • Coordinate complex domestic and international travel arrangements, including booking transportation and arranging lodging, preparation and distribution of schedules and agendas and making arrangements for business meeting space, meals and amenities
  • Process and complete expense reports through an expense management system ensuring strict adherence to company policies
  • Provide general support to visitors to the office and arrange appropriate business meeting space, meals and amenities
  • Prepare and process outgoing correspondence through mail, fax, specialized mail or messenger services as required
  • Interface with diverse and wide-ranging business clients in person, via email and over the phone
  • Serve as a communication intermediary, support staff of the senior leaders of the organization, team members, business clients and external contacts such as outside law firm personnel and vendors
  • Assist with matter management, including opening, updating and closing matters, using a legal matter management system
  • Assist with invoice processing, including (1) answering law firm and vendor queries regarding invoices and payments; (2) providing legal billing information as requested; (3) processing and monitoring manual invoices and inter-company payments; and (4) researching and following up or problem-solving on outstanding invoices, payments and any other legal-fee related issues
  • Maintain and update online knowledge resources using intranet page, SharePoint, Teams and OneNote.
  • Proactively assist and provide support in other projects and duties when needed and when workload allows

Requirements:
  • Strong knowledge in MS Office Suite; Outlook, Teams, SharePoint, Word, PowerPoint, Excel and Visio
  • Excellent clerical skills with attention to detail and ability to work independently and proactively
  • Ability to work collaboratively and cooperatively with others in a team-oriented and remote (work from home) environment
  • Exceptional customer service skills in person, over the phone, and via email
  • Ability to quickly learn, handle numerous priorities and perform the job responsibilities to meet, and preferably exceed, the turnaround requirements and the strict deadlines for the work with minimal supervision
  • Excellent time management and organization skills in a fast-paced and dynamic environment
  • Maintain professional business image and demonstrate high standard of professionalism, demeanor and emotional intelligence
  • Fluency in English language both verbally and in writing (excel in the areas of spelling, grammar, and punctuation)
  • High school diploma or equivalent combination of education and work experience
  • Bachelor’s Degree preferred
  • Previous legal experience preferred, but not required
  • Japanese language fluency is a plus, but not required

Additional Responsibilities:
  • Participate in OrangePeople monthly team meetings, and participate in team building efforts.
  • Contribute to OrangePeople technical discussions, peer reviews, etc.
  • Contribute content and collaborate via the OP-Wiki/Knowledge Base.
  • Provide status reports to OP Account Management as requested
