Apply Today!Job Summary and QualificationsThe Scheduling Lead will be responsible for the scheduling of patient procedures to be performed by obtaining the complete and accurate patient demographics and procedure information from the physicians’ offices. The Scheduling Lead is responsible for the understanding of patient scheduling and procedure knowledge. The Scheduling Lead will be responsible for quality auditing information for accuracy. The Scheduling Lead will interact with business services customers, which will require basic telephone, excellent communications, public relations, and documentation skills. The Scheduling Lead is responsible for organizational and problem solving abilities including working knowledge of hospital resources and functions, including but not limited to various computer programs such as CPCS (Meditech). The Scheduling Lead will be responsible for interacting and coordinating with all the ancillary departments in the facility to schedule the procedures and tests performed in the different departments, as well as coordinating any issues and new processes with these departments. The Scheduling Lead will be responsible for and act as a resource, preceptor, and trainer for other Schedulers and staff. The Scheduling Lead will act as a team leader when called upon and will lead by example. The Scheduling Lead will be or will become knowledgeable and efficient in all areas of Scheduling and will work with management on maintaining an efficient schedule that fits the needs of the department.Participates in providing patient specific care standards as directed, and follows service excellence standards to ensure high levels of patient satisfaction.

Possess a working knowledge of all departments and their terminology.

Understanding of insurance policies and procedures performed.

Capable of using various computer systems, central scheduling system and office equipment to include but not be limited to: CPCS (Meditech), PAS computer systems and processes, PC knowledge, Microsoft programs such as Outlook and Word, fax machine and electronic fax system, various telephone systems, printers, scanners and/or copiers, web-based tools such as OR Control, and any other system that may be put into use for scheduling.

Answer the telephone and schedules/reschedule/edit procedures per physician request.

Communicate with ancillary departments to facilitate scheduling add-on appointments.

Have a working knowledge of how to access privileges via iPrivileges on the iNet.

Update the scheduling dictionary with procedures and maintaining the privileges dictionary and communicating necessary changes to the analyst.

Obtain proper orders according to HIM Policy.

Follow up with physicians’ offices and ancillary departments’ complaints or problems.

Attend in-service presentations, staff meetings, and completes mandatory education and competencies, including but not limited to, infection control, patient safety, quality improvements, MSDS and OSHA standards.

Demonstrate knowledge of occurrence (event report) reporting system and utilizes system to report potential patients safety issues.

Responsible for obtaining, entering, and updating patient demographic information into the scheduling system.

Responsible for entering and scheduling all procedures for outpatient and inpatients and scheduling corresponding tests and equipment along with ensuring those accurate details are communicated.

Responsible for maintaining patient privacy, confidentiality and complying with HIPPA.

Maintains a courteous, honest, and helpful manner in all interactions with both internal and external customers, supervisors, managers, co-workers, and peers.

Maintains open and frequent communications with the scheduling manager and registration managers. Responsible for notifying the manager of any pending issue that requires attention.

Manages time effectively and takes the initiative without being asked.

Responsible for auditing patient information and for doing assigned quality audits.

Act as a resource, preceptor, and trainer for other schedulers and staff.

Participate in process improvements.

Participate in staff and self-development.

Act as a Team Lead for a specific area or project in the Scheduling department. Such duties may include but are not limited to:

Act as a resource to other schedulers and/or departments.

Attend scheduling meetings or meetings where scheduler input is needed.

Works on projects to ensure compliance on corporate, company, and departmental metrics (such as CPT-Code, Cancellation Code, and Suspension compliance), and develops action plans to ensure compliance.

Reviews appointment reservations and communicates with other schedulers on appropriate reservation releases.

Communicates to the physician offices about special request availability, including pediatric cases.

Communicates availability in the operating room via email, phone calls, or OpenTableOR.

Reviews the future schedule constantly to ensure time and space is utilized appropriately and efficiently.

Primary responsibility for training new employees and/or for doing on-going training

On behalf of the manager may be asked to convey information and/or directions to other schedulers or departments.

Work on changes & improvements to the scheduling modules.

Troubleshooting problems with Meditech (the scheduling module or contacting someone who can help), the e-fax system, and some of the office equipment.

May act as the primary contact in their area if the manager is not available.
