We are looking for a Bookkeeper & Office Administrator to organize and coordinate administration duties and office procedures, as well as manage Accounts Payable & Receivable. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety, while also recording financial transactions, maintaining financial records, fact checking financial data and updating financial statements.

Bookkeepers record financial transactions, maintain financial records, fact check financial data and update financial statements. Bookkeepers ensure accounts are current and accurate, using specialized software, spreadsheets and other tools to track and manage data. Some Bookkeepers track all income and expenditures for a company while others may work for larger organizations on specific projects and accounts, or for particular departments.

Responsibilities

-Partner with HR to update and maintain office policies as necessary

-Organize office operations and procedures

-Ensure that all items are invoiced and paid on time

-Manage office General and Administrative budget, ensure accurate and timely reporting

-Assist in the onboarding process for new hires

-Address employees queries regarding office management issues

-Documenting transaction details

-Entering financial transactions in databases

-Organizing financial reports

-Fact-checking accounting

-Notifying senior staff of accounting errors

-Communicate with clientele in a professional manner.

Skills

-MUST HAVE Proficiency in Quickbooks Desktop

-Attention to detail and accuracy

-Able to multi-task, prioritize, work under pressure and meet deadlines

-Ability to communicate complex data clearly

-Excellent data entry skills

-Great interpersonal and customer service skills

-Familiarity with a wide range of financial transactions including Accounts Payable and Accounts Receivable

-Knowledge of office administrator responsibilities, systems and procedures

-Proficiency in MS Office (MS Excel and MS Word, in particular)

-Hands on experience with office machines (e.g. fax machines and printers)

-Excellent time management skills and ability to multi-task and prioritize work

-Attention to detail and problem solving skills

-Excellent written and verbal communication skills

-Strong organizational and planning skills in a fast-paced environment

-A creative mind with an ability to suggest improvements

SCHEDULE would require employee to work in office 3-4 days per week with a flexible weekly schedule.
