Overview:

I run a management consulting firm. We are one of the most innovative and growth-oriented consulting firms in our sector niche. I seek an amazing, part-time assistant to join my team of 20 A player staff and consultants. For this role you will need to be a highly organized administrative professional, and a great communicator and writer. This his is a fantastic opportunity for students. Typical hours for this role are 9 AM-5 PM three days per week. On occasion, there is a need to work additional hours on evenings and weekends. Some travel is required. After a first successful year, there is an opportunity for a full-time position with benefits.

Your Role:

You must stay five steps ahead of me, tracking all administrative details and clearing the path ahead. Your role ensures that I can continue to make the highest-level contribution required for the success of my firm. I expect you to manage up, to anticipate my needs, allowing me to develop vision and strategy in a pivotal growth moment for the company.

While repetitive tasks are certainly part of this position, the tasks assigned can vary from week to week based on my needs and the needs of the business. The most important responsibility of the assistant is to ensure that administrative tasks and projects are completed with a high level of efficiency, confidentiality, accuracy, flexibility, and positivity.

Responsibilities:

Meeting management including preparing agendas and documents, taking notes, distributing action items, arranging catering, etc.

Communicating on behalf of my interests, internally and externally.

Email management, both internal and external.

Running errands and attending in-person meetings multiple times per week.

Checking the mail and processing mail to various departments

Complex calendar management and scheduling on behalf of myself and in coordination with other team members.

Varying personal and professional administrative tasks including, but not limited to, booking appointments, research projects, coordinating travel, and ordering gifts/flowers, etc.

Project management and light finance responsibilities.

Qualities Sought:

Quality Communication: You must be an excellent communicator, in both written and oral form. This includes proficiency in spelling, grammar, and punctuation. This also includes being able to take a large amount of information and summarize it quickly both in writing and orally on a regular basis. You must also be able to track communication (and be very responsive) across multiple channels without losing any details.

High Level of Discretion: You will regularly work with confidential information, discretion and sensitivity is a must.

Team Player: In addition to working directly with me, you will also work with other members of the team. You will need to be able to collaborate and communicate well with these team members, maintaining a can-do spirit and not complaining, making excuses, or gossiping.

Anticipating Needs: As a part of our commitment to enabling me to serve our company and customers, you will strive to anticipate needs and eliminate friction at work and home whenever possible.

Affinity for Technology: You will be a technologically savvy Mac user and will not be intimidated by learning new technology. Proficiency in the following tech platforms is ideal: Microsoft Office, Dropbox, Monday.com, Salesforce, QuickBooks, and Bill.com.

Requirements:

Education: Some college preferred.

Experience: 2-5 years of experience in a personal assistant, executive assistant, or customer service role.

Job Type: Part-time, with the opportunity for full-time employment with benefits in the second year.
