Veterinary Receptionist Job Description - Part-time

Balanced Veterinary Care is a small and progressive holistic veterinary clinic residing in South Eugene. We provide cutting edge service to our clients and we are seeking a Receptionist that shares in our scope. An excellent candidate for this position is highly motivated, outgoing, uptone and bright, and has a mission to provide exceptional service. This candidate has an infectious smile, finds multitasking easy and motivating and takes action in bringing their position to the next level. Balance Vet Care encourages all employees to become creative about helping the business grow. For example, creating a “Most Improved Pet of the Month” by tracking, contacting and taking photos. This vision includes expanding service to the animals of our community and their people, by implementing a full service veterinary hospital and also through furthering education to the public and veterinary community. Attention to detail, time management, self motivated, proper grammar, clear and concise communications, organization, thoroughness, and cleanliness are examples of skills that would make one successful in this position. Presentation is important as the Veterinary Receptionist is the first and last person our customers encounter. Balance Vet Care practices casual business attire. The ideal candidate for this position has a strong passion for service, practices a holistic lifestyle with a nutritional focus and approach to life for themselves, their pets and community.

Roles & Responsibilities:

Excellent communication skills and a bright, happy, outgoing attitude are a must!

Manage and maintain a full schedule

Greet patients (pets and owners) and staff

Provide excellent customer service

Check-in patients, take the pets weight and picture

Check-out patients, schedule follow-up appointments and collect payments

Answering phones with professional phone etiquette

Responding to voice messages, emails and faxes within the business day

Clear and concise verbal, written, and electronic communication skills

Making copies and sending faxes for staff

Handling problems, ie: difficult client, paper jam in copier, vacuum clogged, an appointment runs over, etc

Efficiently learn and use electronic medical software (EVET) to: register patients/pets in computer system, data entry, schedule appointments, process payments, generate reports and enter stats.

Provide client education as trained by Dr. Wright

Adapt to small office tasks as needed

Basic office and exam room cleaning and tidying

Prioritize to timely complete tasks and projects

Experience:

Lack of experience should not keep one from applying.

Receptionist/Administrative Assistant - 2 years

Veterinary Clinic Receptionist/Administrative Assistant - 1 year

EVET knowledge helpful but not required. EVET is our scheduling and patient database software.

Requirements:

Excellent communication skills and a bright, happy, outgoing attitude are a must.

Love, appreciation and the desire to help animals (and their people).

Working knowledge of English language as this candidate will be responding to emails.

Knowledge of basic computer operation and word processing.

Knowledge of basic office equipment, ie: copier, fax, phone, etc

High School Diploma or equivalent

Must be willing and able to complete tasks effectively in a busy and sometimes distracting environment; ability to prioritize is essential.

Able to lift and move 25-30 pounds with ease.

This is approximately a 20-hour per week in-clinic position and it may increase to full-time. This role is designed to assist the full-time Veterinary Receptionist who is transitioning to virtual and part-time support. We practice all measures to reduce the spread of Covid-19. Pay is dependent on experience and averages between $12 - $12.75 per hour to start, plus bonuses. Benefits include paid time off accrual, pet appointments and products at cost.
