POSITION SUMMARY:

The Office Coordinator is primarily responsible for communicating with new tenants and walking them through the rental process financially and as a continued liaison for tenants and their needs. This role ensures that new tenants feel welcomed and appreciated for choosing us. The duties may include, but are not limited to:

Tenant Management:

The first point of contact for tenants, Receive Checks, Charge Credit cards. Take maintenance requests, notify maintenance, and track progress.

System administrator for Buildium tenant management software.

Liaison for open units. Post listings, and schedule showings.

General office work:

Collect mail, file, and scan, enter bills, deposit checks.

Record keeping

Schedule various appointments

Help develop, continually improve, and document our processes.

Assist owners with various projects.

Front-desk duties, which includes, but is not limited to; greeting visitors, tenants, and employees who enter the building; professionally answering and directing all telephone calls.

Maintaining front office area and ensuring that it is clean and organized.

Handling email from office email address

Opening and directing mail

Requirements:

This position requires you to be a a go-getter, high energy, a self-starter who is ready to take initiative. Extremely organized, enthusiastic, and task oriented. Able to put systems in place, document those processes, and add to our knowledge base. Excellent customer service skills. Must be tech-savvy - Currently using Microsoft Office, Google docs, Dropbox, Buildium. We are considering Asana, Slack, and others, and are open to suggestions to simplfy our processes!

We do not expect experience with “Buildium” in particular but you must have a willingness to learn.
