Assistant Property Manager/Suites Manager needed

Job Description:

We are seeking a highly organized and proactive Property Management Assistant to join our team. The ideal candidate will be responsible for ensuring smooth day-to-day operations of the building, providing excellent customer service to tenants, and supporting upper management with various administrative and operational tasks. Key Responsibilities:

Reception Desk Coverage:

-Greet and check in clients for tenants.

-Serve as the first point of contact for any visiting individuals to the building.

-Handle phone and email inquiries from vendors, visitors, and clients.

Tenant and Maintenance Coordination:

-Manage maintenance requests and coordinate access to restricted areas for repairs and vendor work.

-Schedule and coordinate building repairs and upgrades.

-Liaise between tenants and upper management.

Rent and Lease Management:

-Collect rent and other property fees from tenants, issue reminders and warnings for late payments and delinquency.

-Prepare Pay-or-Quit notices and assist with the commencement of eviction proceedings in collaboration with upper management.

-Meet, sell, and negotiate leases with new prospects for vacant suites, including conducting tours.

-Prepare new lease documentation, renewals, addendums, and extensions for executive suites and anchor tenants, ensuring pricing approval from upper management.

Vendor and Project Management:

-Source vendor bids, calculate project costs, and prepare project scope reports for minor upgrades and repairs to major buildouts.

-Maintain a network of vendors and negotiate contracts for building servicing.

-Perform cost-benefit analyses and strategic planning for property management and development.

Building and Tenant Services:

-Manage the building access system, including issuing and maintaining fobs and keys.

-Oversee the maintenance of common areas, including the break room and work supplies for tenant use.

-Handle tenant complaints and concerns, ranging from lightbulb replacements to lease disputes.

-Liaise with neighboring buildings (e.g., Marriott, Kaiser Permanente, Old Spaghetti Factory) for common maintenance, repair, and parking issues.

Additional Support:

-Provide support to UPM Technology staff as needed.

-Perform additional tasks as required to ensure the efficient operation of the building.

Qualifications:

-Proven experience in property management or a related field.

-Excellent organizational and multitasking skills.

-Strong communication and interpersonal abilities.

-Proficiency in Microsoft Office Suite and property management software.

-Ability to work independently and as part of a team.

-High level of professionalism and customer service orientation.
