are a young, nimble, and lean company headed up by a scary-smart Ph.D.

astrophysicist! Founded in 2011, we are a privately held Software Consulting

Boutique. Our business model is driven by our CEO’s brand as a Senior Technologist.

We participate in B2B software consulting projects with Small-to-Medium-Size

Businesses as our primary customer pool.

Job

Summary

The

position is devoted to managing our full suite of service offerings to maximize

the value of customer investment. Our consultants are at the forefront of our

product development and are experts in cloud and IT automation, database

automation and infrastructure modernization and virtual desktop modernization.

As the Services Resource Coordinator, your role is to bridge the gap between

customer and subcontractor.

The

position is 100% remote, 100% telecommute. You may be pulled into a

teleconference here and there, however the bulk of your role will be ensuring

our Software Engineers have a steady stream of tasks and that the CEO, Management

Team, and our Customers are kept up to date on project deliverables, status,

and invoices.

Responsibilities:

In

this role, you will be responsible for collaborating with the CEO and the technical

delivery teams, external partners, and project managers to ensure services

projects are adequately sourced (or outsourced) and staffed. This role is key

in ensuring that consultants, project managers, and all necessary resources and

outsourced partners are fully utilized in a rational and equitable manner.

In

this role, you will ensure that management has a consistent and clear view of

resource allocation. Consultants are assigned in a way to maximize utilization,

leverage and increase their skillset, minimize travel, and ensure balanced

workload.

The

person in this role’s primary responsibility will be to keep in regular touch

with customer-facing personnel to then bridge requirements and taskings/to-dos over

to our Software Engineers who need to be managed day to day. Working with

overseas personnel from India is a must. Our Software Engineers are typically

sourced to us by an external partner with whose Human Resources staff you will

also need to work closely.

Our

firm uses a cloud-based Professional Services Automation (PSA) tool, such as Basecamp

and Harvest, and our Customers oftentimes mandate the use of their own systems,

to include, for example, Jira, Atlassian and Asana. You will be responsible for

managing this tool, its project assignment capabilities, reporting, and data

hygiene.

The

resource coordinator will:

Interact

closely with the Service Delivery Leaders and Project Managers to ensure

the most logical resources are assigned to staff each project through an

internal or external partner resource

Internal

resource

Leverage

the PSA tool to determine schedule

Work

with CEO, Management Team, and Customer Personnel to identify appropriate

deliverables and deadlines

Update

the PSA tool with information related to the task management

External

Resource

Work

with external PEO (Professional Employment Org) to manage the personnel matters

of the subcontracted Software Engineers

Keep

Software Engineers fed a steady-stream of tasks and to-dos as well as

deadlines and expected deliverables

Create

and maintain project plans to ensure satisfaction of customer needs in a

timely fashion.

Help

maintain the skills matrix to ensure the right resources are assigned to

each project based on technical skills

Create

Purchase Orders and approve invoices for Professional Services training

and Staff Augmentation

Ensure

prompt and effective communication happens across all teams involved in

delivery (sales, sales engineers, service delivery, and project

management)

Support

all services operations initiatives as needed

Qualifications,

Education Basic Requirements:

Minimum

of 1 year of experience in an administrative or coordinator role

Experience

in a software company preferred

Knowledge

of Excel, Sharepoint, Basecamp, Harvest,, SalesForce, and resourcing

tools, such as Jira/Atlassian, Asana etc. Basically, if you can use an

app or website that has a portal-like interface, that is all that really

is required. A whole zoo of tools that all work similarly is encountered

as we are a boutique firm who works with an eclectic mix of clients all

utilizing different task-management systems.

Quick

response to complex requests for resources, balancing the needs of the

organization, along with an ability to make rational decisions suggesting

internal or external options

Ability

to handle multiple requests simultaneously and efficiently

Ability

to coordinate request responses with RMO team to minimize duplication of

effort

Ability

to take notes on task progress such that others can understand and assist

as needed

Proficiency

in spoken and written English and understanding of contract language

terminology

Excellent

communication skills

Preferred Qualifications:

Hands-on

experience in managing resource schedules using a PSA tool
