In the Compliance Coordinator role, the successful candidate must be an ambitious, self-reliant, and focused individual to perform a wide range of administrative functions that require problem solving skills under minimal direction. The individual must be a team player and have the ability to handle sensitive information and maintain perspective under pressure.Essential Job Responsibilities:

Manage the billing and invoicing for Major Service Accounts

Daily coordination with Major Service Accounts on elevator status

Account Receivable PO upload and collections for Major Service Accounts

Experience with 3rd party Web Billing Systems (Coupa preferred)

Manage the administrative process specifically related to the testing and violations process

Coordinate high volume testing with multiple 3rd party jurisdictions to ensure on time completion of all required tests

Full responsibility for entire elevator compliance coordination within the branch:

Logging the initial customer order (TCO)

Code to indicate contract-covered work vs. building owner’s work vs. proposal needed

Ensure signed proposals are returned timely from customers

Coordinate completion of contract-covered work with Mechanics (request assistance from Service Managers, as needed)

Follow up with customer on work to be done by building owner

Troubleshoot sources of delays, when necessary, to ensure 100% compliance by deadline identified on order

Communicate compliance to the customer and AHJ before deadline

Complete Affidavits and other required paperwork

Additional Administrative duties may include but are not limited to: management of incoming mail, administrative support to branch sales and operations staff, process accounts payable invoices and maintain control over and process draft check requests, and other administrative tasks and assignments at the request of leadership

Basic Qualifications:

A minimum of 3 years’ experience within an Office / Administrative support type role

Excellent computer skills, with proficiency in Microsoft Office - Word, Outlook, Excel (pivot table experience preferred), and aptitude to learn company-specific software (SharePoint, Microsoft Dynamics CRM, LINX, mainframe, JDE, for example)

Exceptional written and verbal communication skills

Demonstrated proficiency in planning, organizing, prioritizing and multi-tasking is required

Must be able to manage workflow efficiently, be self-reliant, show initiative, good judgment, be a team player and have the ability to handle sensitive and confidential information

Education:

High School Degree or equivalent is required

Bachelor’s degree is a plus, but not required
