Executive Assistant to 2 Partners and 2 VPs, Investment Team
A leading Billion-Dollar Private Equity Firm in Midtown Manhattan is seeking 2 new Full-Time / Permanent Executive Assistants to join their team. Both are “add to staff” positions and open due to company growth! This person will be supporting 2 Partners and 2 VPs (subject to change) within the investment team. Candidates must have a minimum of 3-7+ years of applicable high-level executive administrative support experience, ideally within financial services (private equity), and a Bachelor’s degree is strongly preferred/required. They should be incredibly polished and professional, highly motivated, detail-oriented, adaptable, solutions-oriented, collaborative/team-oriented, and hardworking with excellent communication and interpersonal skills, a “no task is too big or small” mentality, and the ability to work independently and as part of a team. The person must exercise and maintain professional discretion at the highest level and operate proactively and with a sense of urgency. Salary depends on experience (90-115k base), plus paid overtime and discretionary bonus eligibility, comprehensive medical/dental/vision benefits, 401l, free lunch, 3 weeks’ paid vacation, monthly wellness and cellphone reimbursement, etc.
Hours are 9:00am-6:00pm, with a one-hour break and flexibility to work for overtime as needed. Hybrid work schedule (4 days in office, 1 remote). Definitely a quality-of-life culture!
Responsibilities:
Schedule and organize extensive internal and external meetings, conference/video calls, and appointments; create agendas and prepare and distribute meeting materials; manage, prioritize, and maintain busy and ever-changing calendars across various time zones.
Liaise with external high-level executives and/or their support teams to manage small and large meetings, board scheduling, and additional executive support (board materials, committees, documentation requiring review/execution, etc.).
Communicate professionally with Limited Partners “LPs”, Portfolio Companies “PCs”, prospective company management teams, industry peers, internal colleagues, and other senior leaders, exercising the utmost discretion at all times.
Coordinate complex domestic and international travel arrangements and detailed itineraries, including flights, hotel accommodations, car services/ground transportation, etc., in addition to scheduling meetings, events, arranging meal reservations, checking and rechecking for possible changes, etc.
Prepare, process, and submit expense reports on a timely basis, reconciling with monthly credit card statements and liaising with Finance Department.
Screen and answer phone calls and respond to emails and inquiries on behalf of executives.
Manage and enter Executives’ activity into internal CRM database (DealCloud).
Update, manage, and maintain Executive contacts.
Back-up other executive support colleagues as needed.
Assist with ad hoc projects and participate in various firmwide requests and events.
Required Qualifications:
Minimum 3-7+ years of relevant corporate work experience supporting multiple senior level professionals with a preference for exposure to private or growth equity firms.
Bachelor’s degree strongly preferred/required.
Professional demeanor with the ability to interact with individuals at all levels – internal and external.
Detail-oriented, relentless follow-up to ensure nothing slips through the cracks.
Possesses confidence and strong organizational and project management skills with the ability to seamlessly multi-task while taking ownership of the Executive Assistant role.
Strong written and verbal communication skills; active listener.
Ability to prioritize workflow and independently work efficiently while being comfortable asking questions when in doubt.
Intuitive and a quick thinker capable of asking “that next question” and anticipating the unexpected.
Team-oriented and proactive contributor.
Abilit to maintain discretion with all sensitive information.
A self-starter who remains calm under pressure.
Proficient in Adobe, MS Office Suite – emphasis on Outlook, Excel, Word, and PowerPoint.
