We’re creating for what’s next.We are seeking a Document Controls Specialist to support our growing Land Services organization. The role will support clients, programs, and projects across the country, crossing multiple business industries that Land Services support. Responsibilities will include supporting the land services and project teams the in maintaining document control, including but not limited to documents supporting land rights acquisition, title reports, appraisal reports, and all other landowner and property related records. This includes document preparation, document QA/QC, and document storage management. Additionally, the role will need to support project cost/change controls, budget, cashflow, and monthly reporting. Finally, the role will need to be able to move adeptly between different software or online database systems, or any other requirements that our clients might have pertained to document control.This is a hybrid position with option to work remotely and/or occasionally from a Jacobs US office; the Land Services team and clients are located across all US time zones. The position’s work classification is flexible, with a Regular Part-Time or Regular Modified Full Time being possible to start. Ultimately the expectation for the role long-term would be as a Regular Full-Time employee.

Work collaboratively with the Land Services team, as well as other peer organizations within Jacobs, client organizations, and contractors/subcontractors.

Monitoring project budget, actual status, and forecast cost at completion.

Working with Jacobs procurement teams to subcontract related responsibilities in land services as directed.

Support proposal completion, in pursuit of client projects and/or contracts to be awarded.

Provide change management support, including maintenance of project change logs.

Conduct property and landowner research.

QA/QC land documents, including title reports, appraisal reports, and land acquisition documents.

Catalog and organize records based off Jacobs and client needs.

Track status of projects and prepare project reporting for land services.

Issue agreements or documents in DocuSign.

Contact and coordinate with property owners in support of client projects.

Understand and use GIS mapping or other property and landowner mapping databases.

Review invoices and pay application in accordance with contract terms and conditions.

Schedule, manage, and prepare for monthly reporting packages.

Any additional tasks as directed.

6+ years of project related experience.

Strong understanding of Google Earth (or other GIS/mapping tools) and Sharepoint.

Advanced computer skills, including intermediate to advance skills in Microsoft Office.

Professional experience in supporting projects, managing budgets and schedules, and monitoring subcontracts.

An understanding of accounting and business fundamentals and practices.

Computer skills (Intermediate to Advanced Excel skills, working knowledge within Word, Outlook, Teams, SharePoint).

Ideally, you’ll also have

Public utility, transportation, water resources, or land management experience.

Experience with project cost controls.

Previous experience and understanding of client contracts, bid, and proposal documents.

Work expeditiously, and willingness to work outside normal business.
